Role & responsibilities
1) Maintenance of attendance register with employee in-out time and statutory records
of labour and filing of returns as per local State Government. To ensure of paying
Professional tax & Company tax as per scheduled dates every year and any other
statutory requirement which may arise during the course of the year.
2) Maintenance of Overtime details of the staff, conduct proper scrutinity before
sending to Corporate office for processing.
3) Keeping track of the bills and to ensure that all Rental/Vendor/Utility bills are
checked for correctness and forwarded to HO on time and ensure follow up for
timely payments and uninterrupted services.
4) To efficiently manage and monitor the performance of 3rd party support staff.
Responsible to ensure overall upkeep and maintenance of office premises, including
repairs, carryout the housekeeping responsibility diligently i.e. purchase of crockery,
consumables & pantry items and other housekeeping materials. To maintain the
attendance records of the drivers and temporary with correct in-out information.
5) To ensure that all administrative responsibilities and staff welfare / employee
engagement activities are taken care. Co-ordinating with HO for Joining formalities &
exit functions of the staffs. Sending monthly reports to Corp regarding new joiners,
resignations, inductions & trainings coordinated.
6) To ensure adequate stock of office supplies and the stationery items and to send
timely replacement requests to HO or to source it locally depending upon the
situation.
7) To maintain a log book for all incoming and outgoing documents/couriers/post and
to ensure to file for all copies of acknowledgement/POD (Courier/Post).
8) To ensure that all the office equipements are in working conditions and that all AMC
are extended on timely basis for the location. Maintaining petty cash transaction log
and Submission of Admin & Accounts reports to HO every month - electricity
consumption/usage of paper/staff attendance/ leave/ LOP/ MIS report of Hotel &
Admin Expense etc.
9) Maintain the details of all the assets purchase, PO/ Service Order (SO), its physical
verification and update the Corporate office on regular basis
10) Take care of the security of the premises and ensure that the security is discharging
their responsibility adequately.
11) To take care of Office Car management , ensure car log book is maintained. Taking
care of guests requirement for office car etc.
