Front Office Executive

Role & responsibilities

Welcoming Guest:

• Attend the guest as per instruction from concern person
• Guide them to meet concern person
• Upkeep of Front Office and escalate any issue admin for timely action

Visitor Movement:

• Maintain entry register
• Inform Pantry to attend the Visitors

Attend Interview candidates:

• Guide them to fill necessary applications
• collect their CV and forward the same to Recruiter

Incoming calls:

• Attending the calls and collect basic info
• Transferring to concern person
• Register the calls on daily basis

Outgoing calls:

• Call concern person and brief them as per instruction
• Connect to concern person

Movement of Office Assistants

• Updating their activities with distance

Board Room / Conference:

• Blocking for meeting upon schedules
• Coordinate with Admin for necessary arrangements for the meeting
• Inform Pantry to provide water / beverages

Inward Courier:

• Receiving all the couriers
• Note in the register
• Give them to concern person
• Update it in the excel

Outward Courier:

• Get details in the excel and send
• Upon receiving POD from Courier person
• Will track the status

Courier to foreign countries:

• Call and book for a pickup in DHL
• Track courier status
• Update to concern person

Stationery and Courier

• Cross check bills with Delivery challan
• Share the same with Admin to proceed further

Preferred candidate profile

• Must have any UG Qualification
• Age must be within 30 years
• Front office handling experience is must
• Should have good working knowledge on front office services, courier management, inward & outward management, meeting coordination, cafeteria and events management
• Should have good communication skills
• Employee specification
• 2 years experience as Front Office Executive
