Job Title: Admin Manager Material and Fleet Management (Airport Location)

Job Overview :
We are looking for an experienced and organized Admin Manager to oversee material management and fleet operations at our airport location. This role will be key in ensuring the smooth management of operational resources within the high-traffic environment of the airport. The Admin Manager will handle the procurement, storage, and distribution of materials, as well as the management and maintenance of fleet vehicles used for logistics and staff transport. The ideal candidate will ensure the availability of resources and maintain fleet efficiency while adhering to airport regulations.

Key Responsibilities:

Material Management:

• Oversee the procurement, storage, and distribution of materials necessary for the spa and wellness services at the airport.
• Maintain a well-organized inventory system, ensuring materials such as wellness products, spa equipment, and other essential supplies are replenished on time and stored properly.
• Work closely with suppliers and vendors to ensure timely delivery of materials, adhering to airport security protocols and regulations.
• Monitor material usage to prevent wastage and ensure adherence to budgetary constraints.
• Coordinate with airport authorities to ensure that materials are transported and stored in compliance with airport security and operational guidelines.
• Conduct regular audits of materials and supplies to ensure compliance with inventory control practices.
• Maintain clear records of material procurement, usage, and inventory status for reporting purposes.

Fleet Management:

• Oversee the management, maintenance, and scheduling of company vehicles used for transportation of staff, equipment, and other operational requirements within the airport premises.
• Ensure fleet vehicles are available and in good working condition for daily use, with regular servicing, maintenance, and repairs carried out on schedule.
• Coordinate with airport transport teams to ensure that fleet operations comply with airport regulations, including safety and security measures.
• Maintain accurate records of fleet operations, such as vehicle usage, fuel consumption, service schedules, and any incidents or maintenance requirements.
• Manage the allocation of fleet vehicles to ensure efficient use of resources and to meet the operational demands of the spa and wellness services.
• Ensure all fleet vehicles have the necessary documentation, including licenses, insurance, and airport permits to operate within the airport environment.

General Administration:

• Supervise administrative staff handling material management and fleet coordination, ensuring smooth daily operations.
• Act as the primary point of contact between the airport, vendors, and internal teams for any fleet or material-related concerns.
• Maintain communication with airport authorities to ensure compliance with airport-specific policies and guidelines.
• Develop and implement procedures for handling materials and fleet management efficiently within the fast-paced airport environment.
• Assist with other administrative tasks as required by senior management, including reporting, documentation, and budget management for material and fleet operations.

Desired Skills and Qualifications:

• Bachelors degree in Business Administration, Operations, or a related field.
• 2+ years of experience in administrative management, particularly in material management and fleet operations within an airport or similar high-traffic environment.
• In-depth knowledge of airport regulations, logistics, and operational procedures, especially in relation to material handling and fleet operations.
• Strong organizational, multitasking, and communication skills, with the ability to manage multiple priorities and stakeholders.
• Experience working with suppliers, vendors, and contractors to ensure timely delivery and compliance.
• Proficiency in MS Office (Excel, Word) and fleet management software.
• Ability to manage budgets and financial records related to material procurement and fleet maintenance.
• Ability to handle high-pressure situations and operate effectively in a fast-paced airport environment.
