Role & responsibilities
Financial Management:
- Preparation of Projected Annual and Monthly Cash Flow statement and monitor the same on monthly basis for effective cash flow.
- To ensure that all payments are made to suppliers as per agreed credit period.
- Ensure that all payments are made after discussing with the concerned HODs, with their authentication.
-To ensure that BRS is prepared on daily basis and rectification entries passed duly.
- To monitor cash transactions regularly and physically verify the cash on surprise basis.
- To verify and approve all Cheque / RTGS payments after confirming funds position.
- To co-ordinate with Bank Officials in matters relating to Credit Facilities, Renewal and submission of reports as per QIS.
- To co-ordinate with Investment Advisors for effective management of Company Investments.
- To ensure effective funds management.
- Preparing debtors reconciliation statement & following up for accounts receivables after invoicing to debtors, conducting ageing analysis with an aim to keep receivables under control.
- Monitoring receivables with specific focus on more than 60 days outstanding and ensuring that they do not fall into Bad Debt Category.
- Following up for collections in the case of cheque dishonored and legal proceedings, where applicable.
- To interact with functional heads and prepare AOP for the business before March of every year.
- To ensure that Budget (Monthly / Annual) for all departments is not exceeded any point of time.
- To ensure that Monthly Reports are forwarded to concerned HOD and discussion held on corrective action for controlling the deviations.
- To arrange and participate in monthly review meeting to discuss various issues concerning Accounts.
- To record the minutes of monthly review meeting and circulate the same to concerned HODs for follow-up.
- To ensure that all points discussed in the previous month meeting have been addressed before the next meeting.
Statutory Matters:
- Ensure filing of Monthly / Quarterly / Annual returns for GST, Income Tax, Companies Act, TDS etc. in due time.
- To ensure compliance with all statutory matters such as GST, Income Tax, Customs Act etc. to the extent it is related to Financial Accounting.
- To handle queries relating to Notices / Demands sent by above authorities towards completion of assessment.
- To ensure compliance with Companies Act formalities.
- To ensure compliance with Statutory / Administrative calendar.
Risk Management:
- To ensure that all Inventories and Fixed Assets of the Company are safely covered under Insurance.
- To follow-up for claims, if any, relating to the calamities of the above contents.
- To interact with Insurance Officials in handling issues relating to Insurance.
Review and Analysis:
- To Lead, Guide, Advise and Monitor the functions of Team Members.
- To ensure that JD is accepted and followed by all concerned by all concerned regularly.
- To conduct weekly / monthly review meetings to discuss various issues concerning Financial Accounting, procedures, control aspects, job difficulties and further improvements.
- To review monthly IGAAP accounts and take corrective action wherever required.
General Management:
- Ensure necessary reports to be obtained from the concerned team members of accounts.
- To prepare Sensitive Analysis Report on any subject, as and when required by management.
- To prepare an effective Internal Control Manual and update the same periodically.
- To ensure compliance with Internal Control Manual / Standardized Accounting Procedures and suggest improvements periodically.
- To ensure proper filing of records which facilitates easy retrieval, at any point of time.
- To ensure good House Keeping in the Workstation.
- Escalating to management from cost control point of view as and when such issues arise.
- To visit all units periodically and ensure compliance in Accounts & Finance.
- To assist in preparation of weekly financial statements.
- To take initiatives in implementing new Systems / Procedures for effective functioning of the department.
Group Company Management:
- Responsible for group company accounts, fund management and timely suggestion to management.
- Responsible to handle all the legal matters relating to merger, IT and other statutory Bodies.
