Documentation Executive- EXIM

Role & responsibilities :

We are looking for EXIM Documentation Executive who will be responsible for handling the complete documentation process related to the import and export of goods. The position ensures compliance with international trade regulations, timely submission of customs documents, and smooth documentation flow between internal and external stakeholders.

• Documentation Management:

Prepare and verify all EXIM-related documentation, including shipping bills, invoices, checklist, E-sanchit, packing lists, certificates of origin, bill of lading, airway bills, export declarations, and other required documents.

• Customs Compliance:

Ensure proper customs documentation for both export and import shipments in accordance with local and international regulations. Coordinate with customs authorities to clear goods smoothly and avoid any penalties.

• Export/Import Coordination:

Liaise with freight forwarders, shipping lines, customs brokers, and clearing agents for smooth transportation and clearance of goods. Ensure correct paperwork is provided to all parties involved.

• Regulatory Compliance:

Stay updated on current export-import regulations, tariffs, and trade laws, ensuring that the company is in compliance with legal and regulatory requirements in international trade.

• Documentation Filing:

Maintain an organized filing system for EXIM documentation and records. Ensure timely retention and retrieval of documents for audit and compliance purposes.

• Tracking and Reporting:

Track the progress of shipments, handle any discrepancies in documents, and provide regular updates to stakeholders regarding shipment status.

• Communication:

Communicate with vendors, suppliers, customers, and other departments to ensure proper handling of documents and resolve any issues that arise during the process.

Preferred candidate profile:

• Bachelors degree in Business, Logistics, International Trade, or related field.
• 2-3 years of experience in EXIM documentation or related roles in a logistics or international trade environment.
• Knowledge of international trade terms (Incoterms) and the customs documentation process.
• Familiarity with export and import regulations, tariff codes, and shipping procedures.
• Strong attention to detail and ability to work under tight deadlines.
• Proficient in MS Office and experience with EXIM software or ERP systems.
• Good communication and interpersonal skills.

Preferred Skills:

• Experience with handling freight forwarding, customs brokerage, and supply chain logistics.
• Knowledge of international shipping practices and freight charges.

Working Conditions:

• Full-time position.
• May require some travel to interact with clients, vendors, and authorities as necessary.
