Job Description
- Scrutinization of indents for adequacy of particulars & obtaining approval from Deputy Registrar for processing.
- Generating and serving call letters to likely suppliers & obtaining quotations
- Verifying & validating quotations for repeat orders with approval from Director else floating enquiries to likely vendors
- Preparation, vetting of Comparative Statement and forwarding to indentor/customer wherever applicable.
- Obtaining Certified bills from the customers and sending the same to the respective institutional finance for necessary accounting
- Receipt of indentor approvals/recommendations & put up for price negotiations.
- Rate Contracts to be entered & documented into for recurring supply items as appropriate.
- Coordinating for obtaining Financial sanction & release of Purchase Order.
- Processing for advance payment if applicable
- Follow-up action with supplier for the supplies as per delivery schedule in purchase order
- To attend discrepancy report in deliverables by vendor from the indenting institution
- Obtaining certified bills from the customers and processing for payment / advance adjustment
- Follow-up with finance department till payment is received by the supplier.
- Regularization of Emergency purchases
- Maintenance of closed purchase files
- Maintaining accounting finalisation of transactions with entries/updation of database/registers, Debit/Credit
