Job Summary
The Executive Assistant serves as the right hand to the CEO by providing high-level administrative support, streamlining operations, and ensuring effective time management. This role involves handling confidential information, managing complex schedules, coordinating meetings, and acting as a key liaison between the executive and internal/external stakeholders.
Key Responsibilities
Manage and maintain the executive's calendar, schedule meetings, and coordinate appointments.
Screen and prioritize emails, phone calls, and correspondence.
Prepare detailed agendas, minutes, and follow-up action items for meetings.
Draft, proofread, and edit documents, presentations, and reports.
Organize and book domestic and international travel, including flights, accommodations, and itineraries.
Handle travel-related expenses and reimbursements.
Act as the primary point of contact between the executive and internal/external stakeholders.
Build and maintain relationships with key partners, clients, and vendors.
Represent the executive professionally in all interactions.
Support special projects by organizing resources, tracking progress, and ensuring deadlines are met.
Conduct research and provide summaries or recommendations on relevant topics.
Plan and execute corporate events, team meetings, and off-site activities.
Coordinate logistics for board meetings or other high-profile gatherings.
Maintain organizational systems to ensure efficient workflow.
Handle procurement of office supplies and manage budgets related to administrative tasks.
Handle sensitive and confidential information with utmost professionalism. Ensure compliance with company policies and procedures.
Qualifications and Skills
Education: Bachelor's degree in Business Administration, Communications, or a related field (preferred but not mandatory).
Experience: 2+ years of experience as an Executive Assistant or in a similar role.
Experience working in pressure situation.
Skills: Exceptional organizational and time-management skills.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools like Google Workspace.
Strong written and verbal communication skills.
Ability to prioritize and multitask in a fast-paced environment.
Problem-solving and critical-thinking abilities.
Familiarity with travel booking systems and expense management tools.
