Job Description
- We are looking for a seasoned and strategic Operations Associate to lead the sourcing, negotiation, and management of goods and services. This role will be instrumental in ensuring the smooth and efficient execution of our operations, from order processing to customer service.
Responsibilities
Order Processing:
- Accurately process customer orders, ensuring correct product selection, pricing, and shipping information
- Coordinate with the procurement team to ensure timely order fulfilment
Customer Service:
- Respond promptly to customer inquiries and resolve issues in a professional and timely manner
- Provide exceptional customer service through various channels, including phone, email, and chat
- Handle customer complaints and provide satisfactory resolutions
Data Entry and Analysis:
- Maintain accurate and up-to-date records in our operations management system
- Prepare reports and analyse data to identify trends and areas for improvement
- Assist with data entry and validation tasks as needed
Process Improvement:
- Identify opportunities to streamline processes and improve operational efficiency
- Collaborate with team members to implement process enhancements
Vendor Management:
- Source and evaluate potential vendors for products and services
- Manage vendor relationships, ensuring timely deliveries and adherence to quality standards
- Negotiate contracts and pricing with vendors
Supply Chain Management:
- Oversee the entire supply chain process, from sourcing to delivery
- Monitor supply chain performance and identify areas for improvement
- Collaborate with logistics providers to ensure efficient transportation and distribution
Qualifications
- Degree in design, product development or fashion communication is a plus
- Minimum of 2-3 years of experience in an operations or customer service role, with a focus on corporate gifting or supply chain management preferred
- Strong organisational and time management skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Excellent verbal and written communication skills
- Ability to work independently and as part of a team
- Detail-oriented and accuracy-focused
- A positive and customer-centric attitude
