Job Title: Senior Executive/Assistant Manager (Admin)
Job Location :- Rajkot

Project Management: -

• Scouting of new property as per business requirement
• Coordinating with HO team for agreement finalization.
• Preparing the BOQ participation in negotiation for rate reduction with procurement team to bring spends within budgeted limit.
• Prepare the project plan to deliver the facility as per desired timelines, co-ordinate with vendors for different fit-out work like Firefighting, Civil work, Interior, HVAC, Permission from Owner, Govt. Permission, etc.
• Coordinating with cross functional team for installation commissioning of necessary equipments material
• Applying electricity connection with necessary load, Internet lines, SE certificate, etc.
• Deploying necessary Agency for facility management services like Security, Housekeeping, Pantry, Stationary, Courier, Drinking Water, etc.

Office Financial Documentation: -

• Managing agreement for multiple premises, renewal, owner co-ordination, rental payment, etc
• Co-ordinating with HO team for timely rental payment to owners
• Sending termination notice for property exit security deposit recovery
• Necessary verification and timely processing office Maintenance, Property Tax and other Government charges to avoid any penalties
• Handle post termination activities like Due Clearance, Shifting Company Asset etc.

Repair Maintenance: -

• Managing Repair Maintenance for multiple premises, which includes Branch Unit Offices, Warehouse Store.
• Ensuring periodic AMC and Maintenance for the critical equipment like HVAC, Fire System, Elevator etc.

Vendor Management: -

• Processing Invoice of vendors on monthly basis.
• Managing STAT Bill payment like Electricity, Telephone, Municipal Taxes etc. timely to avoid penalty as well as smooth uninterrupted services.
• Timely renewal of the Service agreements through HO for vendors to avoid any payment issue with best possible rates.
• Exploring new vendors tie-ups which can help us in reducing operation cost of existing vendor.
• Arranging necessary vendor for basic facilities like Security, Housekeeping, Pantry, Vehicle, Courier, HVAC, Civil Interior, etc.
