Event Manager

OverView :

This role involves conceptualisation of an event/ celebrations, Execution, handling logistics, marketing, sponsorships, volunteer management, and ensuring a seamless experience for all stakeholders.

Responsibility :

We are seeking a dynamic and organized Event Manager to oversee the planning, coordination, and execution of various Competition including Music & Dance, School annual day programs and sports events. The ideal candidate will have a passion for event management, excellent project management skills, and a strong ability to work with diverse teams.

This role involves conceptualisation of an event/ celebrations, Execution, handling logistics, marketing, sponsorships, volunteer management, and ensuring a seamless experience for all stakeholders.

Key Responsibilities:

Event Planning & Coordination:

• Develop and manage event timelines, budgets, and all logistical elements of events.
• Coordinate with venues, suppliers, vendors, and staff to ensure the successful execution of events.
• Oversee registration, and participant management for events.
• Plan and manage events from conception to execution, including pre-event, live-event, and post-event activities.

Sponsorship & Partnerships:

• Identify and engage potential sponsors and partners for events and programs.
• Negotiate sponsorship agreements and manage relationships with sponsors.
• Coordinate branding and activation at events to ensure sponsor visibility.

Marketing & Promotion:

• Develop and execute marketing strategies for events (digital, social media, print, etc.).
• Create promotional materials and communication strategies to attract participants, attendees, and media.
• Collaborate with the PR team to generate media coverage for events.

Volunteer & Staff Management:

• Recruit, train, and manage event staff and volunteers.
• Assign roles and ensure all teams are well-prepared for the event.
• Foster a positive team environment to promote efficiency and success.

Logistics & Operations:

• Ensure all event operations are executed smoothly, including transportation, catering, accommodations, and equipment management.
• Ensure compliance with safety regulations and manage risk assessment and mitigation strategies.
• Oversee on-site operations during events, ensuring everything runs according to plan.

Post-Event Analysis:

• Analyze event outcomes, gather feedback from participants, sponsors, and staff, and provide post-event reports.
• Track event performance metrics, such as attendance, revenue, and participant satisfaction.
• Identify areas of improvement and suggest changes for future events.

SkillsDescription :

o  Bachelors/Master’s degree in Management, Event Planning, Marketing, or a related field (or equivalent experience).

o  Good years’ experience in event management

o  Knowledge of KPIs and marketing techniques for event management

o  Strong project management and organizational skills.

o  Excellent written and verbal communication abilities.

o  Experience working with vendors, sponsors, and external partners.

o  Strong knowledge of digital marketing and social media platforms.

o  Ability to work under pressure and manage multiple tasks simultaneously.

o  Proficient in MS Office Suite (Word, Excel, PowerPoint) and event management software.

o  Ability to work flexible hours, including evenings and weekends, as required by event schedules.
