Job Description

Assisting manager for overall operational delivery of the exhibition.

Assist the Operations Director and managers with administrative tasks and ad-hoc duties.

Coordination and follow up with vendors for quotes and deliverable and report to the Operations Director/manager.

Following the documentation process, Like Tendering, Quote comparison, Preparing Work order/Agreements updating in system and process defined by organization.

Source vendors, assist manager in negotiate contracts, and nurture relationships with venues and contractors.

Co-Ordination with Event teams, sales, marketing, and other departments to guarantee complete information flow.

Co-ordination and planning for overall all exhibition services - from transport, housekeeping catering to security - ensuring flawless execution.

Co-ordination with design team for Floorplan, graphics, and special structure.

Co-ordination with venue for overall show requirement and adherence of venue rules and restrictions.

Agency Tie-ups Planning / Co-ordination for Security/ Housekeeping/ Safety /Permissions/ Manpower/ Insurance/Communication PA System, Intercom, Internet kiosks/ Transport/ Catering/ Additional Facilities Amenities/ Appointment of a reputed Clearing Forwarding Agent/Electricity Planning/Co-ordination for Power requirement Generators

Be actively involved in the build-up, open days, and breakdown of exhibitions.

Post-show analysis: Analyse past events and implement insights for continuous improvement.

Required Functional Knowledge: Required Competencies:

Understanding of Exhibition Infrastructure Know-How of Stalls System / Structures / Air-conditioning etc

Production: Complete Technical Knowledge for Printing, Signages, Offset Printing.

The candidate must possess good communication skills (both written and oral) and negotiation skills.
