To assist the Residential Leader with day-to-day administrative duties of the Residential division; including organization, scheduling, purchase orders, daily labor reports and reconcile the work orders and billing process for any in-house service provided to homeowner in accor dance with Four Seasons luxury service standards.
Tasks
Performs all administr ative du ties of the division (Purchase o rder , payroll, schedule, inventory, etc.)
Prepare written correspondence on behalf of the Residential Leader for approval
Coordinates the move-in date with Director of Residences for all residents
Coordinates the booking of the service elevator for move-in
Conducts pre-site tour with moving company
Maintains the homeowner profiles within the building management systems
Handle residents complaints in the absence of the Residential Leader; determine action to taken and follow up required
Coordinates any a la carte service requests and ensures accurate billing is followed
Coordinates the opening of the units to trades and contractors after authorization has been receiv ed, with the help of a security
Builds relationships with residents and safeguard the assets and resources of the Association
Produces a residence hotel spend report monthly
Complies with and enforces Four Seasons guidelines, policies and procedures
Assists in building/property orientations as needed
Assists in walk thru of t he buildings on a regular basis
Reports any discrepancies to the Residential Leader
Work harmoniously and professionally with co-workers and supervisors
Assists in completing special projects which may include mailings, competitive surveys, menus or other assigned duties
Maintain master list of owners and tenants and their respective contact information .
Maintain a clean, neat, and organized wor k area and file storage system.
Assist the Residential Leaders to maintain policy and procedure manuals; upd ate and distribute as necessary
Makes sure all contracts and governmental documents are stored properly for any tax, External and Internal Audit inquiry
Maintain the HOA asset list
ADDITIONAL RESPONSIBILITIES
Ensures the common areas of the buildings are in optimal conditions at all times
Covers short period of time the Residential Concierge desk and assists in any type of crunch in both Residences or hotel operations when required
Assists Guest Service A ge nts with responsibilities and duties in their absence or due to heavy volume periods
Performs other tasks or projects as assigned by the Director of Residences/ Residence Manager
Is aware of the emergency procedures in place
Able to create reports
Skills And Compe tencies
Fluent in English, reading and writing
Computer proficiency - (Excel, MS Word etc . )
Experience
One to three years of employment in the related position with Four Seasons or other organizations
Education
Bachelors in hospitality /Graduate from a reputed university
