Role Summary
Role Title: Automation Developer
Purpose: To streamline agent onboarding by leveraging Coda as the central platform for
automation and staff interface, reducing dependency on third-party systems. The role ensures
seamless data integration, robust workflow design, and adaptability to meet evolving onboarding
requirements. Collaboration with the International Onboarding Manager and key stakeholders is
essential to automate processes, address functional gaps, and maintain operational excellence.
Key Responsibilities :
1. Platform Integration:
Develop, update, and optimize API integrations to connect:
GoHighLevel with JotForm.
JotForm with Coda and Mendix.
Mendixwith HubSpot ensuring updates to existing API as needed.
Ensure seamless data flow between platforms with Coda as the central hub.
Collaborate with IT and third-party developers to address complex integration
challenges.
2. Coda-Centric Workflow Automation:
Build and optimize onboarding workflows within Coda, addressing functional
gaps in existing tools like Mendix.
Design advanced triggers, automations, and logic to support the agent lifecycle,
from pre-activation through onboarding.
Enable staff to track, manage, and progress workflows via Codas user-friendly
interface.
3. Post-Onboarding and Nurturing Development:
Develop and implement workflows for agent orientation and ongoing engagement
tasks.
Evaluate the effectiveness of Coda vs. HubSpot for nurturing workflows,
balancing usability with long-term scalability.
4. Tool Evaluation and Research:
Identify and recommend tools or technologies that align with onboarding goals.
Conduct feasibility studies and ensure smooth integration of any approved tools
into the tech stack.
5. System Testing and Maintenance:
Conduct thorough testing to ensure reliability, security, and scalability of workflows and integrations..
Document processes, workflows, and troubleshooting guides for internal teams.
Provide training sessions to enable staff to effectively use the onboarding tools.
Stakeholder Collaboration:
Actasthe technical liaison between the International Onboarding Manager, regional teams, and technical staff, ensuring alignment of priorities and objectives.
Communicate progress, challenges, and opportunities to leadership and key stakeholders.
Accountabilities:
1. Integration Development and Optimization:
Seamlessly connect tools using APIs, prioritizing accuracy and minimal manual
intervention.
Resolve functional gaps by designing agile workflows.
2. Coda-Centric Automations:
Build and test workflows in Coda to manage onboarding from application to
activation.
Address specific gaps in Mendix functionality, such as:
Contact Deduplication & Ticketing
Assessment Call Scheduling
Pre-Onboarding Follow-Up and Approval/Denial Notifications
Post-Onboarding Checklist and Compliance Document Tracking
3. Post-Onboarding and Nurturing:
Implement nurturing workflows to increase agent engagement and satisfaction.
4. Tool Research and Adoption:
Evaluate potential new tools, ensuring they meet organizational goals forscalability and automation..
5. Performance Indicators:
ReduceManual Tasks: Achieve a 50% reduction in onboarding-related manualtasks.
AgentSatisfaction: Increase agent Net Promoter Score (NPS) by 10%,
measured via post-onboarding surveys.
Phased Rollout Success:
Betatesting in 3 countries (2 new, 1 existing) by end of Month 1.
Phasedrollout to 3–5 countries monthly starting in Month 2.
6. Timeline:
First 2 Weeks: Deliver integration and workflow design plans.
First 6 Weeks: Complete API development and workflow automation.
EndofMonth1:Launch beta testing.
Month2Onward:Begin phased rollout to additional countries.
Required Skills and Experience:
Technical Expertise:
● Proficiency in API development, updates, and optimization, with experience in agile
methodologies.
● Familiarity in Coda automations and advanced features, such as Packs, formulas, and
API connections.
● Strong skills in designing workflows with advanced logic to address business needs and
functional gaps.
Tool Research and Evaluation:
● Proven experience in assessing, adopting, and integrating new tools into existing
systems.
● Ability to balance short-term needs with long-term scalability.
Soft Skills:
● Strong communication skills to collaborate effectively with stakeholders and regional
teams.
● Adaptability to shifting priorities and evolving requirements.
● Documentation and training expertise to ensure smooth knowledge transfer and
system adoption.
