Job Summary:
We are seeking a detail-oriented and experienced US Payroll Specialist to manage payroll processes for our US-based employees.
The ideal candidate will ensure accurate and timely processing of payroll, compliance with federal and state regulations, and handle employee payroll-related inquiries.
The role requires strong analytical skills, confidentiality, and a deep understanding of US payroll systems and tax regulations.
Key Responsibilities:
- Process end-to-end payroll for US employees, including but not limited to calculating wages, overtime, deductions, and bonuses.
- Ensure accurate and timely payroll processing on a weekly, bi-weekly, or monthly schedule, depending on company requirements.
- Maintain compliance with federal, state, and local payroll tax regulations, including filing payroll taxes and generating required reports.
- Reconcile payroll data, resolve discrepancies, and ensure data accuracy.
- Manage payroll tax filings, year-end processes, and distribution of W-2 and other required tax forms.
- Handle payroll system updates and interface with HR and accounting software.
- Respond promptly to employee payroll-related inquiries and resolve issues efficiently.
- Ensure compliance with wage laws, garnishments, and benefit deductions.
- Collaborate with HR and Finance teams to ensure accurate data flow and reporting.
- Conduct audits of payroll processes and records to maintain data accuracy and compliance.
- Generate payroll reports for management, auditors, and other stakeholders.
- Stay updated on changes in payroll regulations and tax laws.
Qualifications:
- Bachelor's degree in accounting, Finance, Human Resources, or a related field (preferred).
- 3+ years of experience in US payroll processing.
- Proficient in payroll software such as Gusto, ADP, Paylocity, or similar platforms.
- Strong knowledge of federal, state, and local payroll tax regulations.
- Excellent understanding of wage and hour laws, tax filings, and compliance requirements.
- Strong analytical and problem-solving skills.
- High level of accuracy and attention to detail.
- Strong communication and interpersonal skills.
- Ability to maintain confidentiality and handle sensitive payroll data.
- Proficiency in Microsoft Excel and other office tools.
Preferred Skills:
- Experience with multi-state payroll processing.
- Familiarity with benefits administration and payroll tax reconciliations.
- Certification such as Certified Payroll Professional (CPP) is a plus.
