Customer Service and Documentation Job Description ( JD)

• Booking Creation -Liaise with Shipping Lines / NVOCCs and Forwarders for Cargo Booking on
the Carrier Website or thru INTTRA after receiving booking from Sales Sar or
Overseas agents (Nomination / Freehand)
• Shipment planning for Customers basis the Vessel availability and planning the Transit Time
• Procurement of Empty Containers for stuffing and booking space on Vessels with carriers

Submission of Carting Orders OR Follow up on Container Release Order from Carriers

Submission of SI (Shipping Instructions) to carrier Website
• Finalization of MBL and HBL and filing of AMS / ISF before Sailing of Vessel with carrier.
• Follow up for Connections and Transshipment details thru websites and with Service
Providers after vessel sailing.
• Preparation of Invoices for End Customers and follow up for Payments beyond credit period.
• Checking of Invoices as Received from Carriers and service providers before passing for
Payment to Corporate Finance -Accounts Payable

Release of HBL to Customers / MBL to overseas agent and seeking Invoices from Carriers within 1 day of
sailing.

Working on Cargo Wise (CW1) / Logisys Software for Documentation and Customer Service.
• Preparation of Management Reports pertaining to CS and Documentation.
• Assisting in Tele-sales for customers who are not booking on SAR as per past Records.
• Be proficient in XL Reports
• Import Customer Support by way of checking arrival Detail.
• Sending of arrival Notice to Consignees
• Sending our Imports HBL for IGM preparation to Carriers thru ODEX or email
• Preparation of all Local Charges Invoices to be paid by Consignee.
• Release of delivery order after collection of all Local Invoiced charges and original HBL or
MBL.
• Sending NOC to carriers/lines for release of the Delivery order once Payment is Received.
