Job Description

Job Summary - The Executive Assistant will provide high-level administrative support to the Leadership/ Management team, ensuring efficient operations and contributing to the overall success of the company. This role requires exceptional organizational skills, high level of discretion, ability to manage multiple tasks simultaneously, adaptability to pivot as priorities shift and a proactive learning attitude. The role will involve key initiatives, exciting assignments, facilitating new ideas and is a purposeful and challenging one.


Key Responsibilities:


  1. Administrative Support:
    • Manage calendars, schedule meetings, and coordinate appointments.
    • Prepare and edit correspondence, reports, presentations, and other documents.
    • Handle incoming and outgoing communications, including emails and phone calls.
  2. Meeting Coordination and Attendance:
    • Organize and coordinate meetings, including preparing agendas, taking notes preparing minutes, ensuring accurate documentation and following up on action items.
    • Attend meetings with or on behalf of the executive team.
  3. Client Coordination:
    • Serve as a point of contact for clients, ensuring effective communication and relationship management.
    • Coordinate client meetings, presentations, and other interactions.
  4. Investments Management:
    • Assist in monitoring and managing the company's investment portfolio.
    • Conduct research and compile data to support investment decisions and strategies.
  5. Legal Support:
    • Provide administrative support for legal matters, including contract preparation, review, and management.
    • Liaise with legal counsel and ensure compliance with regulatory requirements.
  6. Follow-Up (Internal and External):
    • Ensure timely follow-up on internal and external communications, tasks, and projects.
    • Track progress and deadlines, ensuring completion and addressing any issues that arise.
  7. Project Management:
    • Assist with project planning and execution, ensuring timely completion of tasks.
    • Conduct research and compile data to support decision-making processes.
  8. Office Management:
    • Work with the admin team to maintain office supplies and ensure the smooth functioning of office equipment.
    • Coordinate with vendors, service providers, and internal departments as needed.
  9. Confidentiality and Discretion:
    • Handle sensitive information with the utmost confidentiality and professionalism.
    • Exercise discretion in managing confidential and proprietary information.
  10. Other Duties:
    • Perform additional administrative tasks and special projects as assigned by the executive team.

Qualifications:

  • Masters degree in Business Administration, Management, or a related field.
  • Proven experience as an Executive Assistant or in a similar administrative role.

Preferred Skills and Abilities:

  • Experience in the trading or commodity industry, particularly in cotton trading.
  • Familiarity with office management software and tools.
  • Ability to exercise discretion to manage confidential sensitive and proprietary information with utmost professionalism and integrity.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management abilities.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and as part of a team.
  • High level of professionalism and attention to detail
