Job Description

Role:

We are seeking a highly organized and motivated Recruitment Coordinator to join our dynamic Talent Acquisition team. In this role, you will play a crucial part in ensuring a smooth and efficient recruitment process. You will prepare recruitment metrics, manage employee referrals, provide administrative support to recruiters, manage candidate communication, coordinate interviews, and contribute to a positive candidate experience.


WHAT ARE YOUR RESPONSIBILITIES:


Referral Management

  • Developing and maintaining the employee referral program: This includes creating and updating program materials, communicating program guidelines to employees, maintaining monthly referral report
  • Tracking and managing employee referrals: This includes screening referrals in Greenhouse as per hiring criteria, interview scheduling, status updates in Greenhouse and referral trackers.
  • Identifying Areas for Improvement: Based on the data and feedback gathered, identify any bottlenecks or areas where the referral process can be improved.
  • Program Enhancement: Contribute to enhancing the referral program by suggesting improvements to the process.

Reporting and Dashboards

  • Provides support to the Talent Acquisition function in the areas of people metrics, data maintenance and reporting, and analytics.
  • Accurate Data Input: Meticulously enter data into the Applicant Tracking System (ATS) and the trackers. This includes information about interview scheduled candidates, interviewed candidates, selected candidates, offered candidates, joined candidates, and declined candidates and maintaining the joining pipeline.
  • Data Integrity: Regularly audit and cleanse data to ensure accuracy and consistency. This involves identifying and correcting errors, removing duplicate entries, and updating records as needed.
  • Interview Tracking: Maintain a dedicated tracker for tracking interviews, logging details at all the stages of recruitment with the source of hire, recruiter, interviewer and the candidate's progress through the hiring stages, etc.
  • Report Generation: Generate recruitment metrics and reports as needed, such as time-to-hire, source of hire, and interview-to-offer ratios. Maintaining different trackers and dashboards for open positions and recruiter performance analysis.
  • Assist in the recruitment process by posting job openings, scheduling interviews, and communicating with candidates throughout the hiring process.
  • Arrange and attend recruitment events including weekend drives..

Interview Scheduling, Follow-up, and Coordination:

  • Coordinate and schedule interviews through Greenhouse, ensuring minimal disruptions and adhering to the availability of both interviewers and candidates.
  • Sending timely reminders to both interviewers and candidates about upcoming interviews, including details such as date, time,
  • Managing any rescheduling requests promptly and efficiently, communicating changes to all parties involved, and minimizing disruptions.

Onboarding:

  • Facilitate the onboarding process for new hires, including preparing joining formalities and ensuring all necessary documentation is completed.
  • Regular follow-up with offered candidates to bring them on board with a positive candidate experience.

WHAT MAKES YOU A GOOD FIT FOR THIS ROLE:

  • Minimum 3 years experience in recruitment coordination
  • Good experience in supporting Talent Acquisition function preferably in data management, reporting, and analytics.
  • Strong computer skills including Excel (Pivots), Word, and GSuite (Google Calendar, Gmail, etc.)
  • Proficiency with any ATS (prefreable Greenhouse).
  • Strong time management and ability to prioritize in a fast-paced environment.
  • Adaptability and quick learning of new technologies and processes.
  • Discretion in handling confidential information.
  • Ability to work independently and manage interview complexities with minimal supervision.
  • Problem-solving skills to handle unexpected scheduling challenges.
  • Strong attention to detail with a focus on the small details is critical
  • Excellent spoken and written communication skills with a proven expertise in the English language.
