Key Responsibilities:
Greeting and Welcoming Visitors: Warmly welcome and assist visitors, ensuring a professional and friendly first impression.
Answering and Directing Calls: Answer incoming phone calls, transfer calls to appropriate individuals or departments, and take messages as needed.
Receiving and Sorting Mail: Collect, sort, and distribute incoming mail and packages. Prepare outgoing mail and packages as necessary.
Managing Appointments: Schedule and manage appointments, meetings, and conference room bookings as required.
Providing Information: Offer information about the organization, its products or services, and general inquiries from visitors.
Maintaining a Tidy Reception Area: Keep the reception area clean and organized. Ensure reading materials are available and up to date.
Assisting with Administrative Tasks: Provide administrative support such as data entry, filing, and document preparation.
Security and Access Control: Monitor and control visitor access, and issue visitor badges as needed. Ensure the safety and security of the premises.Handling Inquiries and Requests: Address and redirect inquiries and requests from employees and visitors to the appropriate personnel.
Basic Technology Skills: Use and manage basic office equipment such as phones, computers, and office software.
Qualifications:Education: A high school diploma or equivalent is typically required.
Additional education or relevant certifications may be an asset.
Communication Skills: Excellent verbal and written communication skills. Ability to interact professionally and politely with visitors, callers, and colleagues.
Customer Service: Strong customer service and interpersonal skills to create a positive and welcoming environment.Organizational Skills: Good organizational skills to manage appointments, incoming mail, and administrative tasks efficiently.
Technology Proficiency: Basic computer skills, including knowledge of common office software and the ability to learn and adapt to new systems.
Professional Appearance: A neat and professional appearance, as the receptionist is often the first impression of the organization.
Adaptability: The ability to adapt to changing situations and handle unexpected challenges effectively.
Multitasking: Strong multitasking abilities to handle multiple tasks simultaneously.
