Role Summary :
BHIVE is looking for an experienced IT Asset Management Executive to manage and maintain the company s IT assets, including laptops, phones, SIM cards, desktop systems and related hardware. The role involves tracking IT assets, ensuring they are in good working condition, managing records such as invoices and delivery challans and coordinating with relevant teams. Additionally, you will be responsible for maintaining and bifurcating records as per BHIVE s different entities. You will work closely with the Tech, Procurement, HR, Accounts, Finance, and Audit teams to ensure compliance and smooth operations.
Key Deliverables:
IT Asset Management:
Collect IT assets (laptops, phones, SIM cards, desktop systems, hardware) from procurement and assign them to employees based on new joiner allocations or requests from existing employees.
Maintain accurate and up-to-date records using existing asset tracker sheets, ensuring all IT assets are correctly logged.
Asset Tracking Condition Monitoring:
Take primary responsibility for tracking all IT assets, ensuring they are in safe, working condition at all times.
Prevent loss or untraceable assets by conducting regular audits and monitoring asset usage.
Asset Assignment Recovery:
Ensure proper collection of IT assets from exiting employees, verifying they are returned in good working condition.
Notify the Compensation Benefits team of any damage or loss so the necessary recovery costs can be processed.
Ensure physical asset forms are filled out and signed by employees before any IT assets are issued.
Order Requests Replenishment:
Place order requests for IT assets such as laptops, specifying brands and models based on the nature of work, to the Procurement team.
Ensure IT assets are replenished according to the requirements of new hires and internal department needs.
Record Keeping:
Maintain accurate records of invoices, delivery challans, asset forms, and ensure they are properly filed for audit and compliance purposes.
Bifurcate records as per BHIVE s different entities for proper tracking and reporting.
Coordinate with the Accounts, Finance, and Audit teams as required for record verification and reconciliation.
Software Tracking:
Research and evaluate new software solutions for improved asset tracking and management.
Ensure the asset tracking system is up-to-date, user-friendly, and compliant with internal policies.
Vendor Management:
Build and maintain strong relationships with vendors supplying IT assets to BHIVE, ensuring efficient procurement and asset management.
Coordination:
Liaise with the Tech team and Procurement team to ensure timely acquisition and distribution of IT assets.
Collaborate with HR, Compensation Benefits, Accounts, and Finance teams to manage asset allocation and cost recovery for exiting employees.
Compliance Policy Adherence:
Ensure adherence to IT asset management policies and procedures across the organization.
Key Competencies and skills:
2-4 years of experience in IT asset management or related fields.
Strong knowledge of IT hardware and software management.
Proficiency in MS Excel and related applications is a must.
Tech-savvy with excellent troubleshooting and IT skills.
Experience with asset tracking software is preferred.
Excellent organizational skills and attention to detail.
Strong communication and coordination skills.
Ability to work independently and manage multiple priorities.
