Job Description

Role & responsibilities:

Event Coordination and Management:

  • Oversee the planning and seamless execution of events hosted in the banquet halls.
  • Liaise with clients to understand their specific event requirements, including layout, catering, and audio-visual needs.
  • Ensure that all client expectations are met or exceeded, maintaining high service standards throughout the event.
  • Supervise event set-ups, ensuring all arrangements are completed in a timely and efficient manner.
  • Handle any last-minute changes, issues, or challenges that may arise during events, ensuring minimal disruption and smooth operations.

Operational Management:

  • Manage the day-to-day operations of the banquet halls, ensuring all aspects are ready and prepared for events.
  • Monitor cleanliness, maintenance, and overall functionality of the banquet halls, ensuring high standards of hygiene, safety, and readiness.
  • Supervise the preparation and arrangement of furniture, lighting, decor, and other event materials.
  • Ensure all equipment and resources required for events are available, operational, and in good condition.
  • Prepare and maintain detailed reports on the usage and condition of the banquet halls.

Purchase Order Management:

  • Create and process purchase orders based on requisitions from various departments (e.g., event planning, operations, maintenance).
  • Ensure that purchase orders are accurate, detailed, and comply with company policies.
  • Coordinate with vendors to ensure timely delivery of goods and services as per purchase orders.

Inventory and Resource Management:

  • Oversee the inventory management for materials, equipment, and supplies needed for events.
  • Ensure adequate supplies are on hand and reorder materials as necessary to avoid shortages.
  • Ensure proper storage and maintenance of all inventory, making sure items are kept in optimal condition.

Marketing and Promotion:

  • Assist in promoting the banquet halls to potential clients through various channels, including digital marketing, event hosting, and partnerships.
  • Help organize promotional events and campaigns aimed at attracting new clients and retaining existing ones.
  • Engage with clients and guests to build a positive reputation and encourage word-of-mouth recommendations.

Budget Management:

  • Assist in managing the budget for the banquet halls, ensuring costs remain within allocated limits.
  • Track and manage revenue and expenses related to events, ensuring financial targets are met and profit margins are maintained.
  • Prepare financial reports, and provide input on cost-effective practices
