MIS Executive cum Procurement Executive / Immediate Joiner

Role & responsibilities

• Getting vendor quotations and Comparison
• Preparing PR
• Preparing POs in SAP
• Developing and Maintaining the Product Catalog, Quotes, Comparison etc.
• Follow-up with In-house procurement team for price negotiations and tracking
• Delivery Tracking, Getting Invoices and Delivery Challan
• Regular follow-ups with respective Vendors as per the delivery timelines and ensuring the delivery as agreed
• Escalating delivery issues if any to Client SPOC if the vendor fails to deliver as agreed
• Coordinating with location engineers for getting Delivery Challan, Invoices and Other payment processing document from locations (If required)
• Payment Processing - Ensuring timely payment to vendors as agreed in the Purchase order
• Preparing the Payment Requests and submitting to finance along with all the necessary supporting documents (Invoice, Delivery Challan, and Octroi Receipts & Installation Report) with proper approvals from Rustomjee IT SPOC
• Follow-ups with Finance for getting the payment released and updating all the stakeholders accordingly
• Tracking payments against allocated budget
• Various MIS reporting and FA Reconciliation
• Preparing and Submitting Monthly MIS report on PO released/ Payments made etc.
• Preparing and Submitting Monthly IT Provisions
• Vendor Outstanding ticket ageing analysis and Open PO reports
• Reconciliation with finance in case of any discrepancies for PO/ Payment or FA entries etc.
• Maintain proper records (Electronic and Physical) for the all the P2P related activities.
• Vendor Contact details and SLA management
