Key skills for the job
- Maintain effective communication with customers and internal team throughout the export process.
- Pre-Shipment / Post Shipment Documentation export documents and Communicate with relevant stakeholders to ensure everything goes in perfect manner.
- Proficiency in making export Invoice, Packing list, E-waybill, Bill of lading, GSP, COO, Marine Insurance and also understand the mode of export incoterms as FOB, CIF, C&F.
- Co-ordination to arrange empty containers for factory stuffing of export shipments, arrange vehicles from transporter.
- Candidate should knowledge to generate Self BRC though DGFT portal, Inward remittance records, Banking, RODTEP, Icegate, HS code, Drawabck, IGST Validation Errors, EGM Filing etc.
- Fluency and good command in English language for email correspondence with overseas customers.
- Manage shipments tracking and update customers proactively time to time and follow up for payments settlement.
- Ensuring compliance with international trade regulations and customs requirements and staying up-to-date with changes in export laws and regulations.
- Communicating with shipping lines, freight forwarders, and customs brokers to facilitate smooth export processes.
- Managing and maintaining accurate export records and database & reports for management.
- Resolving any documentation discrepancies or issues that may arise. Coordination with Bank for any compliance or inwards related issues / errors.
- Collaborating with various departments within the organization to ensure efficient export operations.
- Self-audit to ensure compliance accuracy and knowledge of MS Office is mandatory.
- Ensuring the completion of E-BRC and responsible for generating ROTDEP and Duty Drawbacks.
- Ensuring developing new vendors for best rates of LCL, FCL & Air shipments and quote direct to customers with available vessel schedules and get approval.
- Monitoring and optimizing export documentation processes for efficiency and cost-effectiveness.
Overall, an Export Documentation Specialist plays a crucial role in ensuring that all export-related paperwork and processes are handled correctly and in compliance with legal requirements to facilitate seamless international trade.
