Company Overview:
Aris Infra is a Pre-IPO and rapidly growing startup in the construction material space. We are looking for an experienced Administration professional to supervise daily support operations of our company and plan the most efficient administrative procedures.
Position Overview: The ideal candidate will be well-versed in departmental procedures and policies and will be able to actively discover new ways to do the job more efficiently. Ultimate goal is to ensure all support activities are carried on efficiently and effectively to allow the other operations to function properly.
About the Role:
1. Streamline Administrative Processes: Coordinate administrative procedures and systems, devising ways to enhance efficiency.
2. Schedule and Deadline Management: Oversee schedules and deadlines in accordance with the administrative calendar.
3. Inventory Oversight: Monitor office supply inventory, ensuring adherence to budgetary constraints.
4. Budget Assistance: Track costs and expenses to aid in budget preparation.
5. Facility Services Supervision: Oversee facility services and maintenance activities, such as coordinating with electricians.
6. Office Activities Organization: Organize and supervise various office activities, including recycling programs, renovations, and event planning.
7. Travel Desk Management: Oversee local and national travel arrangements.
8. Logistics Management: Handle the company's logistics operations.
9. New Office Setup: Manage the establishment of new office spaces as required.
10. Office Upkeep Accountability: Ensure the maintenance of office areas, including the pantry, cafeteria, horticulture, pest control, and related services.
11. Stay Informed: Keep abreast of all organizational changes and business developments.
Requirements -
1) Excellent people skills, with experience collaborating in a multi-disciplinary, diverse, and dynamic team.
2) Proven experience as administration manager of 6 to 7 years.
3) In-depth understanding of office management procedures and departmental and legal policies.
4) Familiarity with financial and facilities management principles
5) Proficient in MS Office with an analytical mind and problem-solving skills.
6) Excellent organizational and multitasking abilities
7) Proactive, task driven and positive attitude.
8) Ability to lead the team with accountability and high level of delegation.
9) Flexible and self-motivated; able to multi-task while also being highly detail-oriented.
