Job Description

Position Summary :


Working under the direct supervision of the Senior Administrative Manager, Standards & Engineering Operations. The Administrator is responsible for providing day-to-day administrative customer support related to Standards committees and membership accounts.


Role & responsibilities :


1. Maintain open communication of administrative assignments with Sr. Manager.

2. Create certificates awarded to committee committees.

3. Create and maintain electronic committee accounts and member profiles.

4. Provide system maintenance to assigned committee and member accounts.

5. Manage membership requests submitted by technical staff.

6. Schedule projector shipments and maintain reservation log.

7. Submit ServiceNow IT support tickets related to publication memorandums requiring updated information on ASME.org, and other administrative support system maintenance.

8. Schedule reproduction shipments.

9. Schedule and facilitate zoom meetings for virtual committee conferences.

10. Respond to and process all incoming calls and voicemails related to Standards.

11. Assist and resolve member/customer calls.

12. Assess and respond to incoming and outgoing emails from customers and internal staff and maintain electronic filing system.

13. Maintain assigned responsibility matrix to enable task reporting.

14. Assess applications of new companies and renewal applications to ensure they meet ASME requirements and assign applications to team for processing.

15. Submit supply orders for technical staff.

16. Other necessary tasks or special projects as assigned by the Senior Manager.


Preferred candidate profile


Equivalent work experience with at least five years work experience with administration, communications, and database entry.

Additionally, ideal candidates will have:

  • Ability to prioritize, troubleshoot, problem solve, and follow directions to maintain customer accounts running smoothly.
  • Basic public speaking skills that will allow clear communication with customers.
  • Familiarity with basic software data entry.
  • Initiative-taker with ability to work independently/remotely.
  • Strong follow-up skills.
  • Strong listening skills to provide clear customer resolutions.
  • Strong written and verbal communication skills.
  • Technical communication skills are a plus.

Must have proficient knowledge in:

  • SharePoint
  • Zoom used extensively for video conference & internal IM
  • Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Adobe Acrobat
  • Basic Data Entry Software
