Job Description

Job Title: Executive Associate to the Operations Head

Organization: Alpha Group of Institutions

Reporting To: Operations Head

Work Location: CIT Nagar, Saidapet

Job Summary:

The Executive Associate will provide high-level administrative and operational support to the Operations Head, ensuring smooth coordination across various departments and units. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently while maintaining confidentiality.

Key Responsibilities:

Administrative & Coordination Support

  • Assist the Operations Head in day-to-day activities, ensuring seamless execution of tasks.
  • Schedule, organize, and coordinate internal and external meetings, including agenda preparation and follow-ups.
  • Record and circulate meeting minutes, track action items, and ensure timely follow-ups.
  • Act as the primary point of contact between the Operations Head and internal/external stakeholders.

Cross-Functional Coordination

  • Work closely with Inter & Intra Unit teams to ensure alignment on operational objectives.
  • Facilitate communication between departments, ensuring smooth workflow and timely completion of tasks.
  • Assist in vendor communication and coordination for procurement, services, and other business needs.

Process Documentation & SOPs

  • Develop and maintain Standard Operating Procedures (SOPs) for various operational processes.
  • Assist in drafting policies, guidelines, and frameworks to enhance operational efficiency.
  • Ensure timely documentation of workflows, ensuring process improvements where necessary.

Reporting & Follow-ups

  • Track progress on key operational projects and provide periodic updates to the Operations Head.
  • Prepare reports, presentations, and summaries on operational activities.
  • Ensure timely completion of assigned tasks by different teams and escalate delays when necessary.

Qualifications & Skills:

  • Bachelors or Master’s degree in Business Administration, Operations Management, or a related field.
  • 3-5 years of experience in a similar role, preferably in an educational or corporate environment.
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in MS Office Suite (Excel, Word, PowerPoint) and project management tools.
  • Ability to handle sensitive information with confidentiality.
  • Problem-solving mindset with attention to detail.

Preferred Attributes:

  • Experience in process improvement and documentation.
  • Exposure to working with senior leadership.
  • Ability to work independently and take initiative.
