Job Summary:
We are seeking a reliable and proactive Personal Assistant (PA) to support our executive team in managing their day-to-day activities. The ideal candidate will be highly organized, possess excellent communication skills, and have the ability to multitask effectively in a fast-paced environment. The PA will act as the primary point of contact between executives and internal/external stakeholders, handling correspondence, scheduling meetings, and coordinating travel arrangements. This role requires discretion, professionalism, and the ability to prioritize tasks efficiently.
Responsibilities:
1. Manage executives calendars, scheduling meetings, appointments, and conference calls.
2. Coordinate travel arrangements, including flights, accommodations, and transportation logistics.
3. Screen and prioritize incoming emails, phone calls, and other correspondence, redirecting as necessary.
4. Prepare agendas, presentations, and meeting materials as requested by executives.
5. Assist with personal tasks and errands for executives as needed.
6. Maintain confidential files and sensitive information with the utmost discretion.
7. Act as a liaison between executives and internal/external stakeholders, ensuring timely and accurate communication.
8. Conduct research, compile data, and prepare reports as assigned.
9. Assist in organizing company events, conferences, and team-building activities.
10. Anticipate executives needs and proactively address issues to ensure smooth operations.
Requirements:
1. Proven experience as a Personal Assistant or similar role, preferably supporting C-level executives.
2. Exceptional organizational skills and attention to detail.
3. Excellent written and verbal communication abilities.
4. Proficiency in MS Office suite (Word, Excel, PowerPoint, Outlook).
5. Ability to prioritize tasks and manage time effectively in a dynamic environment.
6. Discretion and confidentiality in handling sensitive information.
7. Strong interpersonal skills and the ability to work collaboratively with diverse teams.
8. Flexibility to adapt to changing priorities and deadlines.
9. bachelor s degree preferred, but not required.
Preferred Qualifications:
1. Prior experience in a similar role within the industry.
2. Familiarity with project management tools and software.
3. Knowledge of basic accounting principles for expense tracking and budget management.
4. Certification or training in administrative support or office management.
