Position : Client Specialist Leave of Absence Coordinator

Location: Ambattur, Chennai

Experience : 3 + Years

Designation : Client Specialist

Shift: US Shift (6:30 PM to 3:30 AM)

Cab availability : Two way

Mode : Work From Office


Job Summary: The Leave of Absence Coordinator will administer and manage the leave of absence requests/accommodations, workers compensation, short-term and long-term disability, return-to-work process, and other cases related to employee absences. The Leave of Absence Coordinator will serve as a liaison between the employee, client, insurance companies, short-term/long-term disability providers, payroll companies, and payroll processing entities to ensure alignment and compliance among all parties.


Required Skills:

  • Knowledge of leaver requirements and other legal protections under FMLA, ADA, and other applicable laws.
  • Proficient Microsoft Office Suite experience, preferably knowledge of Excel.
  • Proficient in HR system.
  • Excellent written and verbal communications skills
  • Attention to detail.
  • Analytical skills.
  • Strong organizational skills.

Role & responsibilities

  • Communicates with employees regarding their needs for leave and/or modified work schedules. Ensures that employees are aware of their responsibilities and of any documentation and notice required to qualify for and to take leave.
  • Partner with insurance companies and short term or long-term disability representatives on necessary documentation to start requests or accommodations.
  • Communicates with client on the status of leave laws with paid time off, workers compensation, and short-term and long-term disability benefits.
  • Communicates with payroll department and payroll processing entities on the status of compensation rates and effective dates.
  • Manages the FMLA leave administration process from the employees initial notice of the need for leave to the return to work. This includes gathering and completing all required paperwork, determining leave eligibility, designating leave as FMLA-qualifying, requesting medical certification as needed, and accounting for intermittent and reduced schedule leave use.
  • Maintains reasonable communication with employees on leave to facilitate smooth and timely return to work, relays communication between employees and their managers during leave within reason.
  • Oversees the return-to-work process for employees returning from extended FMLA, workers compensation, or other leave(s).
  • Facilitates other leave requests, which may include accommodation requests under the ADA.
  • Drafts and/or recommends revisions to company leave policies to ensure compliance with federal, state, and local laws and regulations.
  • Maintains complete and accurate records of leave and accommodation requests in accordance with specified legal requirements and documentation of best practices.
  • Preserves confidentiality of employee medical documentation and files.
  • Maintains knowledge of all applicable leave and accommodation laws including the FMLA, ADA, and state and local laws.
  • Performs other duties as assigned.
