Job Description

  • Prepare agendas and papers for board meetings, committees, and general meetings.
  • Follow up on action points from meetings.
  • Assist in filing and registering documents, forms, returns, and applications with regulators.
  • Convene and conduct AGMs, EGMs, Board Meetings, and Committee Meetings.
  • Draft resolutions and explanatory statements.
  • Prepare checklists and SOPs (Standard Operating Procedures).
  • Maintain minutes of Board Meetings and General Meetings.
  • Assist in event-based activities within the company.
  • Manage tasks related to securities allotment, transfer, and transmission.
  • Draft various Board Level policies and ensure they are updated.
  • Maintain statutory books and registers.
  • Coordinate with external consultants and vendors for certifications and compliance information.
  • Collaborate with internal departments and compile necessary data.
  • Assist in internal, secretarial, and statutory audits.
  • Identify compliance risks and their mitigations.
  • Ensure timely compliance to avoid penalties.
