Role & responsibilities
1. Front Desk Operations:-
- Greet visitors, clients, and employees with a warm and professional demeanour.
- Maintain a tidy and organized reception area.
- Ensure all visitors sign in and are directed to the appropriate person or department.
2. Phone and Communication Management:
- Answer and direct incoming calls promptly and professionally.
- Manage inquiries, take messages, and ensure they reach the appropriate recipient.
- Handle email correspondence and maintain accurate records of communication.
3. Scheduling and Coordination:
- Manage meeting room bookings and prepare spaces for scheduled meetings.
- Schedule appointments and maintain calendars for staff or executives as needed.
- Coordinate with other departments to facilitate smooth daily operations.
4. Administrative Support:
- Handle incoming and outgoing mail, courier services, and deliveries.
- Maintain and update visitor logs, contact lists, and office directories.
- Assist with administrative tasks such as data entry, filing, and document preparation.
5. Customer Service:
- Address and resolve queries from visitors or callers professionally and efficiently.
- Ensure a positive and welcoming experience for all clients and stakeholders.
6. Office Supplies and Maintenance:
- Monitor and maintain office supplies inventory.
- Coordinate with vendors for office equipment repair or maintenance.
- Ensure the reception area is stocked with necessary supplies, such as brochures or forms.
Preferred candidate profile:
- Proficiency in MS Office Suite (Word, Excel, Outlook).
- Strong verbal and written communication skills.
- Excellent multitasking and organizational abilities.
- Customer service orientation and a professional appearance.
