Job Description:
- The Services Reliability Group (SRG) is a Managed Services Practice within Version 1.
- We have a headcount of 290+ employees who support approximately 180+ customers including Database, Infrastructure, Application, and End User support across the UK & Ireland.
- We are seeking an experienced and results-driven Operations Manager to join our growing team.
- You are an organised, energetic, and detail-oriented individual looking to create real value in a rewarding but fast-paced environment.
- You should enjoy interacting and maintaining a relationship with many people across a multitude of roles and teams.
- This role requires a solution-focused individual who can demonstrate commercial awareness, who loves data and demonstrates attention to detail and a focus on accuracy.
- The role is highly impactful and makes a real difference in the success of SRG practice.
- You will be a key member of team and responsible for all the associated operational processes, procedures, tools, and data that underpin the work of the team.
- You will be a trusted support and advisor to the Managing Director, Operations Director, and wider SRG management team.
- You should have a track record of getting things done without having direct ownership for the resources involved.
Key Responsibilities:
- Own Kantata (our centralised timesheet and resourcing tool)-related activities, including:.
- Validating the setup of new engagements and ensuring timesheet elements are activated.
- Coordinating ownership of new proposals via CRM sync.
Timesheet administration.
- Working closely with Practice Heads, Delivery Managers, and Finance to ensure that monthly forecasts are in place and accurately managed.
- Processing end-of-tenure leavers.
- Triggering new hire requests (ESRs).
- Maintaining system hygiene, including follow-ups on missing business units or unbuilt proposals flagged by the Kantata team.
- Acting as a point of contact for Project Managers/ Service Delivery Managers regarding setup and resourcing queries.
- Timely and accurate maintenance, review, and understanding of key operational data.
- Financial Data - Key data will include understanding the drivers within team forecasts.
- Recurring Revenue - Ensuring Contract data is maintained, and revenue is captured.
- Project Resourcing - Monitoring of Available Talent and external hiring.
- Individual & Team Chargeability - understanding drivers of week-on-week fluctuations.
- Contractor Utilisation - reporting on the level of contractor engagement by month.
- Invoicing support to team including invoicing ownership where required.
- General report preparation and ability to extract key information for SRG leadership team.
- Supporting the progress and status accuracy of candidates through the Resource Planning System.
- General Administrative Support as required to SRG leadership team.
Finance liaison for:
Approval of invoices.
Managing a minimal WIP balance.
Debtor queries.
Continuously seeking process and procedure improvement within the Practice and the overall Company.
Regular collaboration with your counterparts across the business to ensure a single way of working.
Maintenance of Practice media (SharePoint, Viva Engage, comms, events, All Hands/Anchor Days).
Compliance reporting including ITIL, Cyber Essentials, Phishing, comms for vulnerabilities.
Ownership and/or attendance across key meetings within the week, documenting minutes and actions accordingly.
Maintenance of Continual Service Improvement Tracker and Risk Register for the practice.
Drive automation of operations processes, where possible.
Qualifications:
Skills, Education & Qualifications:.
- At least 5 years' experience in a similar role.
- Data-lover An excellent analyst who thrives on lots of data, understanding the drivers and utilising these to support solutions and decision-making.
- Trustworthy Attention to detail and accuracy is essential.
- A firm believer in our Core Values combined with professional and ethical standards.
- Organised - being able to drive forward with multiple tasks ongoing.
- Collaborative - you frequently will facilitate engaging the right people together to have the conversations resolve issues as they arise.
- Pro-active - you are open to initiating the solution as you become aware of issues.
- Financial background is preferred but minimum requirement of numerical acumen.
- Comfortable in Excel Intermediate Skills (Lookups, Pivot knowledge essential).
- Discrete - you will have access to sensitive data.
- Ability to prioritize entrusted tasks and work to deadlines.
- Ownership - you must follow through tasks to completion and to an excellent level.
- Have excellent communication skills and interpersonal skills.
Experience of working in an ITIL Managed Services environment.
- Experience using ServiceNow platforms.
