Documentation Executive - Import / Export

Key Responsibilities:

• Documentation Management:
• Prepare and manage all export and domestic sales documents, including invoices, packing lists, and other required paperwork.
• Ensure compliance with relevant export and import regulations.
• Buyer Correspondence:
• Communicate fluently in English to handle buyer inquiries and correspondence effectively.
• Address buyer concerns regarding documentation, shipping, and deliveries.
• Coordination and Compliance:
• Collaborate with freight forwarders, customs agents, and internal departments to ensure seamless shipping operations.
• Maintain records of shipments and verify documents for accuracy and completeness.
• Process Optimization:
• Suggest improvements to streamline documentation processes and reduce errors.
• Stay updated on international trade regulations and export/import laws.
• Miscellaneous Tasks:
• Support the sales team with documentation for domestic and international clients.
• Assist in audits and inspections related to documentation.

Qualifications and Skills:

• Experience: Minimum 8-10 years in import/export documentation.
• Education: Bachelors degree in any field (preferably in Business, Commerce, or a related discipline).
• Technical Skills:
• Proficient in MS Office (Word, Excel, Outlook).
• Familiarity with export and domestic documentation software/tools.
• Soft Skills:
• Excellent communication skills in English (written and verbal).
• Strong organizational and time-management skills.
• Attention to detail and problem-solving abilities.
