Overview

PMO Manager will support the management and the project managers with project scheduling, resource management, cost/budget management, actuals tracking through timesheet, validation of invoices prior to customer submission, follow up on the account receivables / payments, project reporting, data consistency in TRC PM Tools, implementation of administration best practices, update existing processes, procedures, and standards documentation to meet TRC PMO best practices.

Overall PMO Manager will coordinate with multiple stakeholders (Client facing PMs, Delivery Leads, Onshore PMO team, Finance, TRC Leadership, etc.) and act as a gatekeeper for the availability and accuracy of project and resource data in the project management database, thus allowing a perfect oversight of the financial health (budget, schedule, delivery) of the projects across the world. Leveraging solid project financials knowledge, the PMO Senior Manager will raise timely alerts in case of cost/budget/revenue variations and escalate to relevant stakeholders for quick course correction and follow up on the actions.


Responsibilities

  • Build and maintain strong relationships with TRC PMO, Project managers, IT department and regional/global leaders
  • Manage a team in India in charge of :
    • Project setup: Gather input from the sales team, delivery team, project team, vendors, and client stakeholders to develop project schedules and resource plans utilizing MS Project and to make sure the project is correctly setup in the ERP system
    • Project update: Keep project status updated in project management and workflow tools and maintain meticulous records (e.g., project schedules, financials, issues, risks, change control decisions)
    • Budget management: Manage project budgets effectively by ensuring forecasts and actual charges are in line and project costs are effectively controlled. Maintain project budget and Estimated at Completion financial figures
    • Mentor Train Team - Develop the knowledge inside the team to reach a superior level of expertise through the assessment of competency gaps and the application of a solid training plan
    • Invoicing management: Validate invoices to customer prior to their submission
    • Account receivable management: Identify and follow up on past due payments
  • Hands-on support to the activities to reach expected outcomes

Global role

  • Project and resource data management
  • Is the gate keeper of the consistency of the project data in the tools (owns all process related to projects and resources data administration in PM tools)
  • Develop and execute routines to perform sanity checks on the project data.
  • Follow-up with Client facing PMs and PMOs for corrective actions
  • Portfolio analysis
  • Analyze the portfolio to identify profitability or schedule risks on projects, and any other performance gap (unbilled work, over under utilization of resources)
  • Provide recommendations and follow-up with key stakeholders on the actions (PMs, PMO Leadership, Finance, Regional/Global leadership)
  • Continuous Improvement
  • Hands-on contribute to and lead initiatives to improve project management and portfolio management processes and tools.
  • Hands-on contribute to the change management for a full adoption of the improvements by the PM community

Required Tools

  • Expert in MS Project Online and PowerBI is a must. Should be able to give training resolve MPP issues.
  • Minimum 10year of experience in MPP.
  • Proficient in Microsoft Office software and Office 365 cloud applications, (Word, Excel, PowerPoint, OneNote, Outlook, Teams), Flow, Visio, and Forms, is must.
  • Proficient in Project management tools like JIRA, GIT, SharePoint and ERP tools.
  • Strong Experience in Tools Management , Integration between tools and ability to learn and implement new tools to improve processes and bring automation

Qualifications

  • Bachelor s Degree in Information Technology (IT), Computer Engineering, Business Administration, Post graduations in cost management, or equivalent degree is required.
  • 15+ years experience in IT services organizations (including IT implementation project) in PMO environment
  • 15+ years experience in managing core PMO Activities for IT Projects
  • Expert in managing end to end IT Financials - Budget and Forecast planning, tracking actual Costs, Margin Revenue
  • Good analytical skills Ability to analyse data and create insightful dashboards to facilitate decision making for Leadership/Executives
  • Hands on experience in preparing detailed Project Schedules using standard tools like Microsoft Project Planner (MPP) is must
  • Project Management training/certification (i.e., PMP) or equivalent relevant experience is considered an asset.
  • Experience identifying, developing, and implementing business and IT processes.
  • Experience working in an electric utility, including understanding the regulatory environment and process, is considered an asset.
