Job Description:
The Corporate Travel Desk manager is responsible for managing the travel arrangements for company employees, including flights, accommodations, transportation, VISA process, forex purchase and other travel-related services. The role requires strong organizational skills, attention to detail, and the ability to work efficiently under pressure to ensure smooth and cost-effective travel experiences.
Key Responsibilities:
1. Travel Coordination:
- Arrange domestic and international travel for employees, including booking flights, hotels, VISA, forex purchase and ground transportation, wherever needed.
- Coordinate travel schedules and itineraries.
- Ensure travel arrangements comply with company policies and budgets.
- Provide support to employees during their travel, including handling changes, cancellations, and emergencies, if needed.
- Offer guidance on visa requirements, travel insurance, and other travel-related issues, wherever needed
2. Vendor Management:
- Liaise with travel agencies, airlines, hotels, and other service providers to secure the best rates and services.
- Negotiate contracts and agreements with travel service providers.
- Maintain good relationships with vendors to ensure preferential treatment and rates.
3. Cost Management:
- Monitor travel expenses and work to reduce costs without compromising service quality.
- Prepare and analyze travel expense reports to identify trends and areas for improvement.
4. Administrative Tasks:
- Checking travel expense sheets of travelers and settling of advances, passing on to Accounts Team
- Maintain accurate records of all travel bookings and expenses.
- Airline GST (k3) reconciliation through accounts.
- Handle invoicing and payment processes related to travel bookings.
Qualifications: Bachelor's degree in Travel Field / Certification in travel management or related fields.
Experiences: 6+ years of experience in corporate travel management or a related role.
Preferred Skills:
- Strong knowledge of Amedeus / Galileo travel booking systems and tools.
- Excellent organizational and time-management skills.
- Strong communication and interpersonal skills.
- Ability to work under pressure and handle last-minute changes effectively.
- Proficiency in MS Office and travel management software.
- Knowledge of travel regulations and best practices.
- Experience in negotiating with travel vendors.
