Purchase Executive

Job Role:

The Procurement Executive will be responsible for sourcing, purchasing, and ensuring the timely availability of materials and vendors required for construction activities at the site. They will coordinate with vendors, negotiate pricing, and maintain inventory to ensure smooth project execution.

Key Responsibilities:

1. Material Procurement & Management

• Identify and procure materials as per site requirements, ensuring quality and cost-effectiveness.
• Coordinate with the project team to understand material needs and timelines.
• Maintain a stock register and track inventory levels to prevent shortages or excess stock.
• Ensure materials are delivered on time to avoid work delays.

2. Vendor Coordination & Negotiation

• Identify, evaluate, and onboard reliable vendors and suppliers for materials and services.
• Negotiate terms, pricing, and delivery schedules to optimize costs and ensure timely supply.
• Build and maintain strong relationships with vendors for long-term partnerships.

3. Site Coordination & Logistics

• Ensure smooth delivery of materials from suppliers to the site.
• Arrange transportation and handling of materials efficiently.
• Monitor material usage and minimize wastage at the site.

4. Compliance & Documentation

• Maintain proper documentation of purchase orders, invoices, delivery challans, and stock records.
• Ensure all materials meet quality and safety standards.
• Work closely with the accounts team for timely vendor payments and cost control.

5. Cost Control & Budgeting

• Work within the approved procurement budget for the project.
• Identify cost-saving opportunities without compromising quality and project timelines.
• Provide regular reports on procurement expenses and vendor performance.

6. Problem-Solving & Risk Management

• Address and resolve any material shortages, quality issues, or delivery delays.
• Identify alternative suppliers or materials in case of unexpected supply chain disruptions.

7. Communication & Coordination

• Collaborate with project managers, engineers, and site supervisors to ensure smooth workflow.
• Provide daily updates on procurement status and site material availability.
• Ensure all procurement activities align with project deadlines and requirements.

Required Skills & Qualifications:

• Bachelors degree in Supply Chain Management, Civil Engineering, or a related field.
• 3-6 years of experience in procurement, preferably in the construction industry.
• Strong negotiation and vendor management skills.
• Knowledge of construction materials, logistics, and supply chain management.
• Ability to work under pressure and meet deadlines.
• Proficiency in MS Excel, ERP software, and procurement tools.
