Shipping and Production Planning

Job Overview:


We are in search of a highly organized and detail-oriented Shipping and Production Planner to join our team. The ideal candidate should possess a strong background in shipping procedures and logistics, demonstrating proficiency in shipping software such as Deliveries, Kerry, Logistics, DHL, Mearsk Supply Chain, and GT NEXUS. This role demands excellent time management, communication, and problem-solving skills, coupled with a high level of proficiency in Microsoft Office, particularly Excel and Google Sheets.

Key Responsibilities:


1. Shipping Plan Preparation: Prepare and provide comprehensive shipping plans to customers, ensuring accuracy and timely delivery.

2. Vendor Coordination: Daily coordination with shippers (vendors) to ensure smooth shipping operations.

3. Reporting: Create and maintain daily reports on shipping activities, including monitoring shipments from China, Vietnam, Malaysia, Brazil, and India to US and Canada warehouses.

4. Customer Service: Resolve customer queries and complaints promptly, ensuring a high level of customer satisfaction.

5. Invoice Verification: Obtain shipment invoices and verify their accuracy, ensuring compliance with agreed terms.

6. Quality Assurance: Ensure shipping contents match the details on shipping labels, conducting thorough checks to maintain quality standards.

7. Packaging: Assemble and pack boxes or packages for shipment, following proper procedures.

8. Shipping Mode Communication: Communicate and understand customers' preferred shipping modes, ensuring alignment with their expectations.

9. Packaging Schedule: Schedule packaging for shipment to optimize efficiency.

10. Shipment Monitoring: Monitor all shipments in transit from various countries, proactively addressing any issues to avoid additional charges or delays.

11. Logistics Coordination: Coordinate with port authorities for vessel berthing and unberthing, ensuring timely job orders as per received lists.

12. Trucking Coordination: Work with trucking companies to secure container delivery for outbound ocean freight and coordinate customs inspections and devanning for inbound shipments.

13. Document Management: Review shipping notices, bills of lading, invoices, and other records to determine shipping priorities. Manage proper shipping documentation, including airway bills, seaway bills, BOL, HAWB, HBL, PL, CL, and occasionally CCI.

14. Inventory Management: Manage inventory effectively, ensuring accuracy and timely updates.

15. 3PL Warehouse Management: Oversee the 3PL warehouse for stock management.

Key Requirements:

1. Bachelor's degree in Business, Supply Chain Management, or a related field.
2. Maximum 3 to 6 years of experience in the related field.
3. Previous experience as a Shipping Coordinator, Shipping Clerk, or in a similar role in the Buying Company.
4. Proficiency in shipping software such as Deliveries, Kerry, Logistics, DHL, Mearsk Supply Chain, and GT NEXUS.
5. Strong time management and organizational skills.
6. Good communication and interpersonal skills.
7. Proficiency in Microsoft Office, particularly Excel, and Google Sheets.
8. Detail-oriented and highly motivated individual.
9. Strong analytical and problem-solving skills.
10. Multitasking abilities.
11. Ability to offer excellent customer service.
