As the Manager - Travel, Transport and WPE, you will be responsible for ensuring a great Travel, Transport and Workplace experience for our employees in India. You will collaborate with key stakeholders and partners to create an engaging and productive workplace environment that aligns with Sinchs values and culture. As the senior REFM resource in South India you will also supervise Workplace Experience operations in the region.

Key Responsibilities for the role:

Transport Travel Management: The overall transport and travel operations of multiple offices, ensuring all functions run smoothly and efficiently including -

o Transportation Operations: Plan, coordinate, and manage the movement of employees including Fleet Management, Route Optimization, Safety and Compliance

o Manage both Ad-hoc / Spot rental and Home Transport Services according to regulation.

o Manage contracts and agreements for Transport services across the region.

Travel Management:

o Travel Operations: Plan, coordinate, and manage travel and ticketing arrangements for colleagues in line with defined procedures and established protocols.

o Ensure timely closure of requests for services, claims verification and invoice processing in compliance with statutory requirements and agreed protocols.

Stakeholder management:

o Curate, Cultivate and maintain relationships with all Upstream stakeholders (i.e. Sinch Business Leaders in the region) rendering transport support to meet business objectives. Assist, consult, advise and guide Sinch colleagues on Transport and Travel services.

o Establish, build and maintain downstream relationships with RE FM stakeholders like Transport companies, Ticketing and travel agents, Service managers, Automation providers, sub-contractors, Drivers etc. to enable deliveries and project works to be scheduled and completed.

Transport Support for business travel and office events:

o Creating and implementing strategy, system and protocols for transport management support for all corporate events - internal and external.

o Management of transport for multiple offices and locations. End to end planning and execution.

Financial management:

o Manage the Travel and Transport spends for businesses and implement controls for achieving value for money.

o Planning and execution of all transport strategies and contracts in line with the Sinch values with consistent delivery across India ensuring high level of employee engagement.

o Perform administrative tasks e.g. raise PRs, process invoices, provide timely accruals, maintain MIS etc.

o Budgeting and Cost Control: Manage budgets, track expenses, and identify areas for cost reduction.

Audits and Compliance:

o Ensure all travel, transport and facility operations and services are fully compliant with all statutory norms and business requirements. Plan and undertake audits of all our services.

o Support all second- and third-party audits and execute closures of all actionable observations.

o Implement industry best practices to improve standards of travel and transport services.

Communication, MIS and Reporting:

o Lead and manage all transport-related communications including employee messaging, stakeholder communication and team communication.

o Single Point of Contact (SPOC) from the Sinch REFM team on any travel or transport related MIS and Management reporting.

o Programs manage any local implementation of policies and procedural changes e.g., process automation etc.

o Working closely with HR from a cultural perspective for a great experience to colleagues.

o Manage any internal communications where required, for example service outages, transport disruptions and emails to new starters.

Regional Facility Management:

o Maintain oversight on facility operations of regional offices, ensuring all functions run smoothly and efficiently.

o Supervise Workplaces, FM Services, Operations health and safety governance in the region ensuring are managed according to standards and regulation.

o Consult on contracts and agreements for FM services across the region including Lease, CAM, FM, Security, ME, AMC, Parking etc.

o Customer Service: Foster strong relationships with customers, respond to inquiries, and resolve issues promptly.

o Performance Monitoring: Track key performance indicators (KPIs), analyze data, and implement process improvements.

o Regulatory Compliance: Ensure compliance with relevant laws, regulations, and industry standards.

Team Supervision:

o Maintain oversight and mentor Sinch resources responsible for workplace experience regionally and Transport /travel services countrywide in all areas including administrative, governance and supervisory.

o Oversee skill development in team with real-time mentoring, OJT and real-life coaching.

Eligibility Criteria

o Bachelors degree (full time) in Travel, Transportation, ticketing, or a related field from a recognized college.

o 10 years proven experience in travel transport operations and management roles for IT / ITES medium to large companies.

o Strong knowledge of related regulations, laws, auditory requirements and industry best practices.

o Skills:

o Excellent analytical, problem-solving, and decision-making skills.

o Effective communication, leadership, and interpersonal skills.

o Proficient in transportation management software routing optimization tools.

o Ability to work in a fast-paced environment, prioritize tasks, and meet deadlines.

o Experience in working collaboratively managing relationships with internal stakeholders, external vendors and service providers.

o Proven experience in transport travel management roles -min 6 years recent experience in managing corporate travel transport requirements.

o Excellent team management, communication and interpersonal skills.

o Proficient in O365 - MS office, Outlook, OneNote, Teams etc.

o Proficient in English, Kannada and Tamil - read, write and speak.

o Experience in the technology or telecommunications industry is a plus.
