Job Description

Key Responsibilities

1. Client Onboarding and Relationship Management:

  • Welcome and onboard new clients by providing detailed orientation about the space and its amenities.
  • Build and nurture long-term relationships with clients, ensuring their needs are met and concerns are addressed.
  • Conduct regular check-ins with members to maintain a strong rapport and gather feedback.

2. Client Queries and Support:

  • Act as the first point of contact for all client queries, providing prompt and effective resolutions.
  • Maintain open communication channels to ensure members feel supported and valued.

3. Client Invoicing and Administration:

  • Handle client invoicing and payment follow-ups accurately and efficiently.
  • Assist with contract renewals and maintain up-to-date membership records.

4. Social Media and Design Management:

  • Manage the coworking spaces social media accounts, creating engaging content and campaigns to drive visibility and engagement.
  • Use tools like Canva to design marketing collateral, event posters, and promotional materials.
  • Promote the coworking space through creative online and offline strategies.

5. Space Tours for New Clients:

  • Conduct engaging and informative tours for prospective clients, highlighting the coworking space's features and benefits.
  • Tailor space presentations to align with client needs, ensuring high conversion rates.

6. Inventory Management:

  • Maintain a detailed inventory of office supplies, furniture, and equipment to ensure the coworking space is always well-stocked and functional.
  • Coordinate the procurement of necessary supplies and monitor usage to avoid shortages or overstocking.
  • Ensure that all office equipment (e.g., printers, projectors, coffee machines) is regularly maintained and promptly repaired when needed.

7. Conference Room and Meeting Space Management:

  • Oversee bookings for conference rooms and meeting spaces, ensuring availability and preparedness.
  • Ensure rooms are equipped with necessary technology and are set up as per client requests.

8. Maintenance and Hygiene:

  • Maintain a clean, organized, and welcoming coworking environment by coordinating with cleaning and maintenance teams.
  • Regularly inspect facilities to ensure hygiene and functionality meet high standards.

9. Event Coordination:

  • Organize and manage networking events, workshops, and other member engagement activities.
  • Collaborate with external partners or speakers to deliver value-added experiences for members.

10. Community Engagement:

  • Foster collaboration and interaction among members, encouraging a sense of community.
  • Address any interpersonal challenges among members tactfully and constructively.

Qualifications and Skills:

  • Bachelor’s degree in Hospitality, Business, Marketing, or related fields (preferred).
  • Previous experience in customer service, coworking spaces, or community management is a plus.
  • Proficient in social media management tools and design platforms like Canva.
  • Strong interpersonal skills, with a knack for building and maintaining relationships.
  • Highly organized, detail-oriented, and capable of multitasking.
  • Familiarity with coworking space management software (e.g., Nexudus, OfficeRnD) is a plus.
  • Passionate about creating exceptional client experiences.
