We are a dynamic digital printing company seeking a reliable and friendly Virtual Receptionist to join our team. This is a remote position, and you will be the first point of contact for our clients, customers, and partners, ensuring they have a positive and seamless experience when interacting with our business.
Key Responsibilities:
- Answer incoming calls and greet clients or customers in a professional, courteous, and friendly manner.
- Direct calls to appropriate departments or individuals, ensuring quick response times.
- Schedule appointments, meetings, and conference calls, as needed.
- Manage and update client contact information in our database.
- Respond to emails and messages in a timely and professional manner.
- Handle inquiries, provide information about services, and resolve issues.
- Assist with administrative tasks such as data entry, filing, and document organization.
- Maintain a positive and professional virtual presence through all forms of communication.
- Monitor virtual phone lines and ensure smooth call routing.
- Maintain confidentiality and security of sensitive client and business information.
- Perform other duties as assigned by the management team.
Required Skills & Qualifications:
- Excellent verbal and written communication skills.
- Strong phone etiquette and customer service experience.
- Proficiency with office software (e.g., Microsoft Office, Google Suite).
- Experience with virtual phone systems and scheduling software is a plus.
- Ability to multitask and prioritize tasks effectively.
- Exceptional organizational skills and attention to detail.
- Ability to work independently and maintain a professional attitude in a remote environment.
- Previous experience as a receptionist or in a similar customer-facing role is preferred but not required.
