Job Description

Job Summary:

We are seeking a highly organized and detail-oriented Transaction Coordinator to join our team. The Transaction Coordinator will play a critical role in ensuring the smooth execution of real estate transactions from contract to closing. This individual will be responsible for managing the administrative aspects of each transaction, coordinating with various stakeholders, and ensuring deadlines are met while maintaining high-quality customer service.


Key Responsibilities

  • Transaction Management: Oversee the entire real estate transaction process, from contract to closing. Ensure that all documents are accurately prepared and completed in a timely manner.
  • Communication: Act as the primary point of contact for all parties involved in the transaction, including clients, real estate agents, lenders, title companies, inspectors, and attorneys.
  • Document Handling: Ensure that all necessary paperwork is completed, signed, and submitted in compliance with local, state, and federal regulations. Maintain accurate records and file documentation appropriately.
  • Timeline Management: Track and manage all critical dates and deadlines (e.g., inspection periods, financing contingencies, and closing dates) to ensure timely completion of the transaction.
  • Problem-Solving: Address and resolve any issues or delays that may arise during the transaction process, ensuring a smooth experience for all parties.
  • Client Support: Provide consistent, professional, and responsive support to clients, answering questions and guiding them through each step of the transaction process.
  • Collaboration: Work closely with real estate agents, escrow officers, and other stakeholders to facilitate the closing process and ensure all requirements are met.
  • Quality Assurance: Review contracts and documents for accuracy and completeness, ensuring compliance with company policies and legal standards.

Required Qualifications:

Educational:

High school diploma or equivalent required; Associates degree or higher preferred.

Experience:

Minimum of 1-3 years of experience in real estate, transaction coordination, or a related field.



Skills and Competencies:

  • Excellent organizational and multitasking skills
  • Strong attention to detail and ability to meet deadlines
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and real estate software (e.g., Dotloop, Skyslope, etc.)
  • Strong written and verbal communication skills
  • Ability to work independently and as part of a team
  • Knowledge of real estate contracts and legal documents preferred
  • Certifications (Optional): Transaction Coordinator certification or similar credentials are a plus.
