Core Functions:
1. Responsibilities including managing resources , staff development, attaining
Sales goals & growing branch revenues.
2. Initiate new structures and procedures to take the organizational goals and
objectives to the next level.
3. Look after the overall requirement of the branch
4. Supervise the work of all departments.
5. Handling and settling complaints & grievances.
6. Coordinating with the marketing team on planning new activities to increase
footfall in the branch.
7. Work in a team environment & maintain a pleasant disposition.
8. Ensure all the departments work in coordination and in sync with each other
9. Plan & Organize events for in house parents, walk-ins & for generating new leads
10. Strategize on concessions that can be provided on school fees to secure
admissions with the approval of Head of Operations.
11. Discourage Staff attrition and encourage retention leading to enhanced
productivity
12. Build trusting relationships with employees.
Implementation
1. Monitor end to end activities of the branch
2. Maintain & supervise all the records with reference to admission, enquiry,
security, transport, Maintenance ,housekeeping and other branch details
3. Monitoring follow up record.
4. Keep check on all reports and work done by administrators.
5. Maintain Inward, Outward & LC registers
6. Maintain all compiled reports of the branch (Year-wise admission, Enquiries,
marketing, etc)
7. Maintain conversion ratio of each counsellor and assist those who are falling
behind in improving their work.
8. Daily monitoring of the pending fees to be collected and corrective measures
taken to ensure all payments are received from parents who default the payment
for fees or transportation i.e monitoring of cheque bounce.
9. Check Master sales, daily collection and daily cash receipt reports.
10. Ensure proper handling of cash/ cheque received at the branch
11. Attending Parents complaints & grievances
12. Update and maintain inventory list as and when necessary.
13. Maintain all HR related reports (Joining, leaves, etc.)
14. Daily monitoring of Staff attendance. Taking appropriate action against the team
in case of prolonged absenteeism or discipline issue.
15. Send all reporting mails on a daily basis to the operation head.
16. Coordinating with academic coordinator for new admission updates
17. Maintaining and Monitoring student attendance report & Id cards.
18. Inactivating students who are absent for more than 15 days
19. Ensure parents' complaints and concerns are resolved quickly and efficiently.
20. Ensure adherence to discipline from the entire Transport Team, including
Drivers/Bus Attendants are punctual at all the time.
21. Ensure smooth functioning of the transport department and timely pick-up and
drop of students.
22. Cleanliness and maintenance of buses at regular intervals.
23. Keeping accurate track record of inventory like walky talky, camera, Fire
Extinguishers , first aid box, water bottle, basic tool kit & complete rto
documents.
24. Timely training of the transport department employees to ensure smooth
functioning of the team.
25. Keep check of maintenance issues pertaining to school building and take
appropriate measures wherever necessary.
26. Coordinate with the maintenance department for repair, electrical and plumbing
systems issues, and ensure records are maintained.
27. Ensure necessary amenities like drinking water, clean wash rooms, and well-
stocked infirmary are available for students and staff during school hours
28. Ensure fogging is done twice a day
29. Ensuring Electric meter , water meter , Generator diesel level report is
maintained.
30. Prepare housekeeping duty list, and monitor/supervise housekeeping staff
activities. Supervise the work of housekeeping staff, peons and maids.
31. Ensuring safety measures such as Fire Extinguishers and First-Aid supplies are
accessible for Staff and at all times etc.
