Job Description

Role & responsibilities

1. Pre-Contract Award Process:

  • Document review & Identification of Key Points, Risk Assessment.
  • Drafting of Pre-contract queries & other submittals.
  • Review of Draft Work Order (WO) before Finalization & Corrections.
  • Preparation & Guidance of claims i.e. Extra Items, time-lapse, extension of time.
  • Place enquiry for New Contractor as per Project specification.
  • Follow up with Sites and Contractors for quotation.

2. Post-Award Contract Administration Process:

  • Preparation of various reports for tracking savings on Budget and Turnaround time (TAT) for various projects.
  • Preparation of Contracts Documents/ Agreements and Work Orders.
  • Preparation of Rate Analysis justification for extra/non-scheduled items etc.
  • Preparation of Comparison Statement with respect to Budget Cost.
  • Prepare and issue the change orders/amendments as per the approval process and update the same in ERP and MIS.
  • Follow up with the Project Execution team and contractors/vendors for performance and Timely completion.
  • Track MIS for all documents (Work Orders, Change Orders/Amendments, Fore-closures, Insurance Policies etc.)
  • Keep track of the entire Correspondence & Documents of each contract, R.A. bills etc..
  • Closure of Contract after the end of Defect Liability Period.
  • Maintain a log of Contractual correspondence (Letters/ E-mails) and ensure that communications of the Contractors/ Vendors are responded to within a reasonable time.
  • Coordination and meeting with agencies to clear front-related issues.
  • Maintain Contract Administration checklist, Format and related documents and prepare Monthly MIS.
  • Conducting Performance evaluation and rating the Contractors/ Agency periodically.
  • Preparation of Contract Appreciation documents.
  • Project Delay analysis in terms of Manpower.
  • Serve as the point of contact for all contractual matters including time limit extension and renewal of contracts.
  • Resolving Technical billing issues, Final authority to Check, verify and follow up for bills, Work Order acceptance etc.
  • Manage the entire P2P Cycle.
  • Get a refund/credit for excess and defective work.

Preferred candidate profile

  • 5-8+ years of experience in Real Estate (high-rise building)/EPC/Cost Plus Lump sum Contract/Item Rate Projects for Residentials & commercial.
  • Experience in Finalizing Contracts for Civil, Finishing, Services and Infrastructure work.
  • Should handle Arbitration of Building Projects.
  • Awareness of Commercial Terms & Conditions.
  • Efficient in using advanced Excel and ERP Software.
  • Candidates with core experience in Contract management for high-rise projects will be preferred.
  • Skills Required: Good Negotiator, Good Communication & Coordination, ERP Software.
