Job Summary
The Deputy Medical Superintendent (DMS) will support the Medical Superintendent in overseeing the operational
and administrative aspects of the hospital. The DMS will focus on managing doctor onboarding, conducting
interviews, resolving grievances, ensuring proper documentation, maintaining OPD/IPD transactions, and
coordinating doctor assistant arrangements. The role requires close collaboration with doctors, clinical staff, and
administration to ensure smooth healthcare delivery and compliance with hospital policies.
Key Responsibilities
1. Doctor Onboarding & Credentialing
• Manage end-to-end onboarding of doctors, including documentation verification, credentialing, and
contract formalities.
• Conduct orientation for new doctors to familiarize them with hospital policies, SOPs, and clinical
guidelines.
• Ensure that all required certifications (medical degrees, licenses, NABH-compliant credentials, etc.) are
documented and regularly updated.
• Maintain a database of all doctor-related information, including schedules, specializations, and
performance appraisals.
2. Recruitment & Interview Coordination
• Assist in conducting interviews and recruitment processes for doctors and clinical staff.
• Coordinate with HR for job postings, candidate screening, and interview scheduling.
• Provide inputs on candidate evaluation, aligning with the hospital's operational and clinical requirements.
• Ensure compliance with medical regulatory standards during the hiring process.
3. Grievance Handling
• Act as the point of contact for addressing grievances raised by doctors, clinical staff, or patients related to
medical services.
• Mediate conflicts between doctors and staff or doctors and patients, ensuring timely and effective
resolution.
• Maintain proper documentation of grievances and track their resolution status.
• Implement strategies to improve workplace satisfaction and foster a harmonious environment for the
medical team.
4. OPD & IPD Transaction Maintenance
• Oversee and monitor day-to-day operations of Outpatient Departments (OPD) and Inpatient
Departments (IPD) to ensure efficient service delivery.
• Track patient flow, service timelines, and resource allocation for both OPD and IPD.
• Maintain accurate documentation of all patient-related transactions, including admissions, discharges,
diagnostics, and procedures.
• Ensure compliance with hospital billing protocols and assist in resolving discrepancies in patient service
transactions.
5. Assistance & Coordination for Doctors
• Arrange assistants, secretarial support, or coordinators for doctors as per their schedules and
requirements.
• Ensure availability of clinical and non-clinical support staff during surgeries, consultations, and
procedures.
• Coordinate duty rosters for doctors, ensuring proper coverage across departments.
• Handle requests for medical equipment, consultation rooms, or other logistical support for doctors.
6. Compliance & Quality Assurance
• Assist the Medical Superintendent in ensuring compliance with NABH, NABL, and other healthcare
regulatory standards.
• Participate in audits related to clinical services, documentation, and operational efficiency.
• Implement and monitor quality improvement initiatives to enhance patient care and safety.
7. Administrative Support & Reporting
• Assist the Medical Superintendent in preparing reports, presentations, and documentation for senior
management and regulatory bodies.
• Monitor and improve adherence to hospital policies, SOPs, and medical protocols by the clinical team.
• Maintain accurate records of departmental performance metrics and submit regular updates to the
Medical Superintendent.
