The Export Executive is responsible for managing and overseeing international shipments, ensuring compliance with regulations, and coordinating with various departments to facilitate the smooth movement of goods across international borders. This role requires strong organizational skills, attention to detail, and knowledge of international trade regulations and logistics.
Duties & Responsibilities:
Export Documentation:
Prepare and process export documentation according to customs regulations, laws, and procedures.
Ensure all documentation is accurate and submitted on time, including invoices, bill of lading, packing lists, COO (Certificate of Origin) and any other document as required by the customer.
Work closely with the Export Inspection Agency (EIA), Spice Board or any other relevant authority to ensure all necessary testing and documentation requirements are met for export shipments.
Customs Compliance:
Ensure compliance with customs and regulatory requirements related to shipping.
Handle customs clearance procedures for exports.
Coordination and Communication:
Coordinate with freight forwarders, shipping lines, and customs brokers to ensure timely delivery of goods.
Communicate with suppliers and internal departments to coordinate the delivery of shipments.
Logistics Management and Transit Cost Calculation:
Track shipments and provide updates to relevant stakeholders.
Collaborate with the CHA (Customs House Agent) to determine and calculate the final transit cost. This includes aggregating all relevant expenses such as freight rates, inland transportation, documentation fees, customs duties, handling charges, insurance costs, and any other related expenses.
Accurately calculate the Cubic Meter (CBM) measurement for shipments to determine the volume of goods being transported by coordinating with relevant departments, such as the warehouse and logistics teams, to confirm the loadability of shipments.
Regulatory Compliance:
Ensuring all export activities comply with international trade regulations and standards specific to food products, including FDA requirements for the US, EFSA standards for Europe, and GCC regulations for Gulf countries.
Quality Assurance:
Ensuring that all food products meet the required quality and safety standards of the destination countries. This includes managing inspections and audits.
Risk Assessment:
Identifying potential risks in the export process and developing strategies to mitigate them, including political, economic, and logistical risks.
Qualifications and Experience:
Graduation with very good communication skills and pleasing personality is a must.
2-4 years of experience in export operations, logistics, or a similar role.
Knowledge, Skills and Abilities:
Strong knowledge of international trade regulations, customs procedures, and documentation requirements.
Possess a thorough understanding of Incoterms (International Commercial Terms), basic shipping terminology, and the required documentation for international trade.
Excellent organizational and time-management skills.
Strong communication and negotiation skills.
