Job Summary: The Sales Coordinator supports the sales team and ensures smooth operations within the sales department. This position is responsible for coordinating various sales activities, managing customer communications, tracking sales orders, and assisting in the preparation of sales reports. The Sales Coordinator plays a vital role in optimizing the sales team's productivity by providing administrative support and maintaining strong relationships with customers and vendors.


Key Responsibilities:


  1. Sales Support:
    • Assist the sales team with daily operations, including preparing quotes, proposals, and contracts.
    • Manage and process sales orders, ensuring accuracy and timely delivery.
    • Handle customer inquiries and ensure follow-up on open sales orders.
    • Coordinate between sales, marketing, and logistics teams to ensure smooth operations.

    • Administrative Duties:
    • Maintain customer databases and records, ensuring that they are accurate and up to date.
    • Prepare and maintain sales reports, tracking performance metrics such as sales volume, targets, and conversion rates.
    • Manage the sales calendar and schedule meetings, appointments, and presentations for the sales team.
    • Handle communication with clients and vendors, including order status updates and product inquiries.

    • Customer Relationship Management:
    • Build and maintain strong relationships with customers and vendors to foster long-term business growth.
    • Assist in resolving customer complaints and issues related to sales orders, deliveries, or product quality.
    • Coordinate with the customer service team to ensure customer satisfaction.
  1. Inventory and Order Management:
    • Track inventory levels and collaborate with the supply chain team to ensure product availability.
    • Monitor and ensure timely processing of orders, ensuring all documentation is completed.
    • Assist with the delivery and shipping coordination to meet customer expectations.
  2. Sales Team Coordination:
    • Assist in organizing sales meetings, training sessions, and team-building activities.
    • Act as a point of contact for the sales team, helping them with logistical and administrative tasks.
    • Track sales targets, assist with goal setting, and report on progress regularly.

Reporting and Documentation:

    • Prepare sales-related documents, such as contracts, invoices, and correspondence.
    • Analyze sales data to identify trends, opportunities, and challenges.
    • Report sales performance and provide actionable insights to the management team.

Skills and Qualifications:


  • Education: High School Diploma or equivalent required. A Bachelors degree in Business, Marketing, or a related field is preferred.
  • Experience: Minimum of 1-2 years of experience in sales, administrative support, or customer service roles.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), CRM software (e.g., Salesforce), and order management systems.
  • Communication: Strong written and verbal communication skills.
  • Organizational Skills: Excellent multitasking abilities with attention to detail and strong organizational skills.
  • Problem-Solving: Ability to troubleshoot customer concerns and find solutions in a timely manner.
  • Team Player: Ability to work collaboratively with multiple teams and departments.
  • Customer Service Orientation: Strong customer-focused attitude, with the ability to build and maintain relationships.

Working Conditions:

  • Full-time, office-based role (or remote/hybrid depending on company policies).
  • Regular working hours (typically 9 AM – 5 PM, Monday to Friday), with occasional overtime or weekend work during peak sales periods.
  • Occasional travel may be required for client meetings or events.
