Job Title: Sales Order Process Executive
Department: Sales / Order Processing
Location: Charni Road, Mumbai
Reports To: Sales Manager / Order Processing Manager
Job Summary:
The Sales Order Process Executive will be responsible for handling customer orders for stainless steel pipes and tubes, ensuring accuracy and timely processing. She will coordinate with production, logistics, and finance teams to ensure smooth order execution while maintaining strong customer relationships.
Key Responsibilities:
1. Sales Order Management:
- Process customer orders for seamless stainless steel pipes and tubes in ERP/CRM.
- Verify product specifications, grades, sizes, and pricing before confirming orders.
- Generate and send order confirmations, proforma invoices, and dispatch schedules.
- Track order progress from confirmation to delivery and update customers accordingly.
2. Coordination & Communication:
- Work closely with the production team to check stock availability and lead times.
- Coordinate with the logistics team for dispatch, freight arrangements, and delivery schedules.
- Communicate with customers regarding order status, shipping details, and any delays.
- Ensure timely payment follow-ups in coordination with the finance team.
3. Documentation & Compliance:
- Maintain accurate records of orders, invoices, and delivery documents.
- Ensure compliance with industry standards, export regulations, and company policies.
- Prepare reports on sales trends, pending orders, and customer feedback.
4. Customer Support & Issue Resolution:
- Handle customer queries related to material specifications, order tracking, and delivery timelines.
- Resolve order-related complaints and coordinate with relevant teams for quick solutions.
- Provide after-sales support, including assistance with certificates (Mill Test Certificates, etc.).
5. Process Improvement & Reporting:
- Identify areas for improvement in order processing and suggest workflow optimizations.
- Assist in developing SOPs (Standard Operating Procedures) for better order management.
- Generate periodic sales reports for management review.
Required Skills & Qualifications:
- Bachelor's degree in business administration, Sales, Supply Chain, or a related field.
- 1-3 years of experience in sales order processing, preferably in the stainless steel or manufacturing industry.
- Proficiency in ERP/CRM software and MS Office (Excel, Word, Outlook).
- Strong knowledge of stainless steel pipe & tube specifications, grades (304, 316, etc.), and industry standards (ASTM, ASME, etc.).
- Excellent attention to detail and ability to work under deadlines.
- Strong communication, coordination, and problem-solving skills.
Preferred Qualifications:
- Experience in B2B sales or dealing with industrial customers.
- Familiarity with export documentation, taxation, and logistics coordination.
- Knowledge of industry certifications (ISO, Mill Test Certificates, etc.).
