Key Responsibilities

Stakeholder Relationship Management

• Act as the primary liaison between the CEO and internal/external stakeholders.
• Build and nurture relationships with clients, partners, board members, and employees to enhance communication.
• Coordinate with teams across the organization to align tasks with business objectives.

Project Coordination

• Monitor key projects by tracking progress, setting reminders, and ensuring deadlines are met.
• Collaborate with various departments to facilitate the smooth execution of business initiatives.

Meeting Coordination & Follow-Ups

• Prepare agendas, document minutes, and outline actionable points during meetings to ensure stakeholder alignment.
• Track and follow up on action items and project deliverables discussed in meetings.
• Organize and coordinate internal and external meetings, conference calls, and presentations efficiently.

Calendar Management & Scheduling

• Oversee the CEOs calendar, scheduling meetings, appointments, and events to ensure optimal time management and prioritization.
• Coordinate meetings, prioritize scheduling conflicts, and maintain a clear overview of commitments.

Administrative Support

• Prepare reports, presentations, and communications for stakeholder meetings.
• Handle sensitive and confidential information with discretion.
• Support business activities, including tracking expenses, processing invoices, and drafting correspondence.

Requirements

• Education: Bachelors degree or equivalent experience in a relevant field.
• Experience: Demonstrated success as an Executive Assistant or in a comparable role.
• Skills:
• Exceptional organizational, multitasking, and time-management capabilities.
• Strong written and verbal communication skills.
• Proficiency in data management and analysis.
• Understanding of Finance and Real estate industry.
• Technical aptitude with the ability to quickly learn and adapt to new tools and systems.
• Technical Proficiency: Competency in office software, including MS Office and scheduling tools.
• Professionalism: Ability to handle confidential information with discretion and exercise sound judgment.
