Account Executive

Main Duties & Responsibilities

Financial Accounting

• Oversee Accounts Payable, Accounts Receivable, cash disbursements, payroll (payments & TDS) and bank reconciliation functions.
• Ensure that all accounting effects are appropriately taken and documented.
• Ensure all entries of sales, purchase, expenses, for assigned group companies are done in an accurate and timely fashion
• Helping the team in entries as and when required
• Ensure an accurate and timely monthly, quarterly and year end close.

Accounts Payable

• Receiving bills & entering in the system
• Review and approve all invoices to be paid
• Prepare list of creditors
• Ensuring all credit cards, rents, property taxes, utility bills and other administrative expenses are paid as per schedules
• Ensure payment of Salaries and other statutory and fixed and variable benefits of people
• Maintain the Fixed Asset Register (FAR)
• Keep accounts of Petty Cash expenses

Accounts Receivables

• Prepare list of debtors
• Resolve queries of customers pertaining to bills and/or other related matters
• Follow up with Sales Team for recovery of funds
• Handle collections on invoices, especially ones that are overdue.
• Ensure receipts of rent as per schedule
• Handle Management Invoicing
• Maintain tracker for Export Benefits

Taxation & Compliances Management

• Working with the consulting CA to understand and implement Tax compliances & statutory audits
• Solving queries of the taxation department through correspondence or personal visits
• Working with the consulting CS to understand and implement Company law compliances & ROC statutory requirements
• Working with the Excise and GST Consultant to understand and implement GST
• Working with the Labour Consultant to understand and implement PF/ESIC/Bonus/Gratuity and other labour law compliances
• E-filing of returns of all above mentioned taxes
• Ensure company records are kept organized and readily available for examination.

Banking Operations

• Ensure the monthly and quarterly bank compliance activities are performed in a timely and accurate manner.
• Ensuring all bank statements are reconciled against accounting transactions
• Ensuring cash/cheque deposits and withdrawals, documents submissions run smoothly
• Ensuring all transactions of RTGS/NEFT and other funds transfer run smoothly
• Ensuring accurate and timely processing of payments of monthly salary and other creditors

Import & Export Accounting

• Managing all banking operations for Imports along with the Shipping & Logistics team
• Ensure closure of IDPMS with bank on monthly basis
• Booking of Forex Rates as per despatch plans
• Completing all licensing process required for exports
• Generating letter of credit
• Fixing foreign exchange rates
• Complying to all FERA formalities
• Complete all banking formalities for export remittances
• Advance License Accounting

Inventory Accounting

• Maintain records of cost of raw materials and cost of producing them into finished good
• Conduct Stock audits to ensure physical stock matches with system stock
• Generate inventory reports to make sure there are no discrepancies or variances
• Identify root cause of discrepancies

Cashflow Management

• Keep track of accounts receivables and following up with debtors as per monthly recovery targets
• Keep track of accounts payables and scheduling payments of creditors according cash flow arrangements
• Meet financial objectives by forecasting requirements; informing management regarding the cash flow and making requisite arrangements for timely availability of funds
• Building and maintaining relationships with important officers in banks to ensure the right overdraft facilities
• Establish and execute internal controls over the companys accounting and financial procedures.
