Role/Specialization: Junior Executive Assistant
Objective: The Junior Executive Assistant (Junior EA) is responsible for providing administrative and
organizational support to executives or senior staff. This role involves managing daily schedules, coordinating
meetings, handling correspondence, and assisting in various administrative tasks. The Junior EA ensures smooth
and efficient operations while maintaining professionalism and confidentiality.
Responsibilities:
1. Administrative Support
• Manage and maintain executives' calendars, including scheduling and coordinating meetings,
appointments, and travel arrangements.
• Prepare and edit correspondence, reports, presentations, and other documents.
• Handle incoming and outgoing communications, including emails, calls, and mail, with discretion and
professionalism.
• Maintain and organize files, records, and other important documents.
2. Meeting and Event Coordination
• Assist in planning and organizing meetings, including preparing agendas, taking minutes, and
following up on action items.
• Arrange logistics for on-site and virtual meetings, including technology setup and participant
coordination.
• Support in organizing events, team off-sites, and other company functions.
3. Travel and Expense Management
• Coordinate domestic and international travel arrangements, including flights, accommodation, and
transportation.
• Prepare and process expense reports, ensuring accuracy and adherence to company policies.
4. Project Support
• Provide assistance on specific projects as assigned, including research, data collection, and reporting.
• Collaborate with internal teams to ensure project deadlines and goals are met.
Qualifications and skill-sets:
1. Education and Experience
• High school diploma or equivalent; Bachelors degree preferred.
• 12 years of experience in an administrative support role or similar position.
• Familiarity with office tools such as Microsoft Office Suite, Google Workspace, and scheduling
software.
