Job Title: Executive Assistant
Position: 1 (Executive Assistant (Personal Asst))
Location: Hyderabad, India
Experience: 1-4 years
Role Summary:
The Executive Assistant (EA) provides comprehensive administrative support to senior executives, ensuring the smooth operation of the office. The EA is responsible for managing executive schedules, coordinating meetings and events, handling travel arrangements, and facilitating internal and external communications. The role requires discretion, professionalism, and the ability to manage multiple priorities effectively.
Executive Assistant Responsibilities:
1. Administrative Support:
ï¼ Manage and maintain executive calendars, including scheduling appointments, meetings, and travel.
ï¼ Coordinate meetings by preparing agendas, taking minutes, and ensuring the necessary materials are available.
ï¼ Handle confidential information with discretion.
2. Travel & Event Coordination:
ï¼ Arrange travel itineraries, accommodations, and transportation for executives, including managing visa processes and insurance.
ï¼ Coordinate logistics for events such as conferences, seminars, and internal meetings.
ï¼ Ensure all logistical details are managed efficiently.
ï¼ Organize stakeholder visits and manage related logistics like invitation letters and pick-ups.
3. Expense Management:
ï¼ Submit and track executive expense reports, including reconciliation of statements
ï¼ Assist with benefit reimbursements and procurement support.
ï¼ Oversee invoice approvals within agreed thresholds.
4. Project Assistance:
ï¼ Assist with special projects such as research, data analysis, and report preparation.
ï¼ Track project progress to ensure deadlines are met.
5. Communication & Liaison:
ï¼ Act as the point of contact between executives and internal/external stakeholders.
ï¼ Facilitate internal communication by drafting and distributing posts for birthdays, anniversaries, and key events.
ï¼ Ensure effective communication and coordination within the executive office and across departments.
6. Event & Space Management:
ï¼ Plan and manage events, including team-building activities, off-site meetings, and corporate functions.
ï¼ Collaborate with facilities and management teams on space-related matters.
ï¼ Manage calendars for practice events, team events, and floor coordination.
7. Reporting & Documentation:
ï¼ Maintain and organize all relevant project documents in digital repositories (e.g., Google Drive).
ï¼ Prepare presentations, emails, contracts, and reports for executive review.
ï¼ Establish a knowledge repository for cross-functional information sharing.
***Preferred Qualification Executive Assistant :
ï¼ Education: MBA (Finance, HR & Analytics)
ï¼ With 2-4 years of proven experience as an Executive Assistant or in a similar administrative role.
Skills:
ï¼ Proficiency in Microsoft Office Suite, Advanced Excel and/or Google Workspace.
ï¼ Strong organizational and time-management abilities.
ï¼ Excellent written and verbal communication skills.
ï¼ Strong attention to detail and ability to handle confidential information.
ï¼ Ability to multitask and prioritize tasks effectively.
ï¼ Professional demean our and strong interpersonal skills.
