Role & responsibilities

ADMINISTRATIVE RESPONSIBILITIES

  • Responsible for overall administration of the Hospital.
  • Supervising all nursing activities in the Hospital.
  • Ensuring quality nursing care delivery to all patients.
  • Acts as a liaison officer between Nursing and other departments of the hospital.
  • Coordinates with other administrative departments for smooth functioning of patient care activities.
  • Maintains discipline among nursing personnel
  • Responsible for Manpower planning for the present and future activities/expansions of the Hospital.
  • Interviews and recruits nursing staff and other staff whose duties are related to nursing in consultation with HR.
  • Directing staff for recruiting, hiring, training and retention of nurses and handling disciplinary action.
  • Ensuring appropriate nursing numbers and skill mix in clinical area for patient area.
  • Supervise the staff allocation patterns and providing suggestions for optimum utilization of human resources.
  • Carrying out Performance appraisal regularly to keep a track on staff performance.
  • Be part of exit interviews and analysis.
  • Creating positive and collaborative work environment to ensure nurses work satisfaction.
  • Building image and popularity for hospital and the nursing profession.
  • Align all staff to the vision and mission of the nursing department and hospital.
  • Developing ethical and error prevention culture.
  • Participating actively in all hospital committee meetings.
  • Preparing annual nursing budget and ensuring budgetary compliance.
  • Ensuring lean waste and maximizing resource utilization.
  • Maintain confidentiality of the patient and hospital data.
  • Ensures adequate provision and maintenance of equipment and the resources.
  • Holding departmental meetings allowing free exchange of ideas.
  • Ensure Nurse-physician partnership for collaborative patient care
  • Collects physician feedback from key consultants on a monthly basis and ensures continuous improvement
  • Attending the emergency calls concerning nursing services and hostel problems.
  • Receiving reports from various nursing officers.
  • Analyzing daily reports/census on hospital situation, e.g. admission, discharge etc. in order to organize nursing manpower or submit reports to higher authority.
  • Maintaining records and reports of nursing services dept.
  • Maintains the records of all staff.
  • Report and discuss the issues related to nursing with the concerned authority.
  • Submit monthly and annual report of the nursing department depicting achievements, future plans of expansion-any other report that may be required to be submitted.
  • Manage grievance by Investigating complaints, preparing reports and taking disciplinary action.
  • Ensuring all wards do indents on allocated days.
  • Ensuring proper storage of medicines & consumables
  • Ensuring each department does inventory check on regular basis and maintains record
  • Ensuring the material consumption is tracked on monthly basis to optimize resource utilization.
  • Ensures effective and efficient use of all department resources.
  • Initiates procedure for condemnation and procurement of hospital equipment/linen etc.
  • Preparing, reviewing and implementing policies, SOPs and protocols related to nursing in consultation with the concerned personnel.
  • Conduct supervisory rounds every day to oversee nursing activities carried out and also take patient feedback.
  • Ensure accuracy and completion of nursing documentation within the time frame.
  • Attending the correspondence related to nursing service from outside agencies and individuals.
  • Participating actively in the implementation of process change.

As a Patient Safety Officer:

  • Provides leadership and direction to the organizational patient safety strategy
  • Continuously evaluates and improves the patient safety program based on internal needs and external requirements and NABH standards
  • Collaborating with key organizational leadership (clinical, operational, legal), directs and is accountable for the development and implementation of a comprehensive patient safety and risk management plan and updates this plan at least annually.
  • Conducts an annual and on-going assessment of patient care risks by working closely with the clinical leadership across with the team to develop International patient safety goals.
  • Develops and implements an adverse event reporting and patient complaint management system that is easy to use and engages the frontline care providers, patients and families in patient safety efforts
  • Supports/facilitates the implementation of innovation and systems that eliminate patient harm.
  • Works with clinical leaders and nursing personnel to coach/teach/train them in leading teams to improve patient safety
  • Collaborates with the Quality improvement efforts to identify key improvement focus areas that impact both patient care quality and safety.
  • Develops and implements initiatives to create a patient safety culture using transparency of information as the foundation of this effort
  • Co-chairs the patient safety committee which will include clinicians from the field and will have activities focused on data review, identification of trends, prioritization of risks and actions to mitigate risks in an on-going way.
  • Chairs the Patient Safety Peer Review Committee to consistently evaluate specific provider performance during his/her employment. The chair will establish consistent processes for review and feedback so that the focus is on on-going physician development and improvement whenever possible.
  • Oversees individual case reviews and develops appropriate tools and training so that clinical program leadership learns how to conduct these reviews and can partner effectively with the patient safety efforts across HCO.
  • Works with clinical leadership to design, implement and assess the patient safety educational modules for new employees.
  • Participates as needed on clinical and operational calls to inform and educate the program teams about the Patient Safety Program and also to get feedback and input into how this program grows and is implemented.
  • Monitors literature and professional organizations for new or revised best practices related to patient safety.
  • Assists individual providers as necessary in responding to inquiries from professional organizations in collaboration with Quality department.
  • Attends patient safety and risk management educational conferences as reasonably requested and/or approved by the Chief Operating Officer
  • Maintains strict confidentiality with regard to protected health information and understands and adheres to HCG hospitals Privacy & Security policies and procedures.

TRAINING AND DEVELOPMENT

  • Ensures all new joiners undergo induction and unit orientation program.
  • Ensures credentialing and privileging of all nurses.
  • Assess the training needs of the nurses and design training programs periodically based on the learning needs.
  • Organizing and conducting induction program, CNE, In-Service education, Conference, Workshop etc.,
  • Ensures all staff attends mandatory training-Fire safety, BLS, ACLS, PALS, IV therapy, Chemotherapy, HIS, etc.
  • Provides guidance and counseling to nursing staff in the event of errors/ mistakes/ complaints/ negligence reported or as required.
  • Ensures adequate training to be given when there is a change of responsibility or new equipment’s introduced
  • Evaluate the effectiveness of the training provided.
  • Make arrangements for sending the nurses for external training sessions/ seminars/ workshop/ lectures, etc.
  • Ensuring cross training of nurses to optimize nursing man power utilization
  • Maintains competence amongst the nurses in the essential skills required for delivering care within the clinical area.

QUALITY

  • Ensuring comprehensive care is given to each patient & evaluates care given
  • Ensuring patient safety in all the aspects.
  • Ensuring the conduction of internal and external audits periodically-nursing care, nursing documentations, stock, etc.
  • Monitoring Quality Indicators and taking Corrective and Preventive Action based on the Quality Indicators.
  • Reporting the Quality Indicators on monthly basis/ as required to concerned authorities
  • Ensuring Quality Indicators are maintained within bench mark as per policy
  • Ensuring the incidents is reported on time.
  • Collecting all incident reports, analyzing them to find the root causes and take Corrective and Preventive Action and evaluating its effectiveness.
  • Planning and executing quality assurance and continuous quality improvement program.
  • Ensuring staff and patient feedbacks are periodically taken and grievances addressed.
  • Ensuring the implementation of NABH &/JCI standards
  • Performing responsibilities as patient safety officer.
  • Ensuring prevention and control of HAI’s by following infection control policies.

RESEARCH AND INNOVATION

  • Carrying out research activity and support/motivate others to conduct research, pilot project in the patient care area to build nursing knowledge.
  • Taking initiatives to innovate in order to improve the quality of nursing care
